Position Summary:
The Development Services Coordinator is responsible for facilitating critical Development support areas for efficiency and effective operations in a donor-centered culture. Provide donor database management, administrative, event management, and fund development support services to the Development Department and Advancement Committee. This role requires strong organizational skills and technical proficiency, with the ability to work collaboratively across departments. The ideal candidate will be event-oriented, detail-oriented, and passionate about leveraging technology and their skills to advance the nonprofit's mission.
DUTIES AND RESPONSIBILITIES:
Administration
1. Maintain database, ensuring accurate entry and maintenance of information, including existing and prospective donors.
2. Maintain and update policies and procedures for the development department.
3. Maintain donor files and file system
4. Acknowledge all funding requests in the database
5. Reconcile with the Accounting Department to ensure the integrity of gift entries
6. Prepare and mail mass mailings for events, appeals, and campaign funds
7. Update the text of template documents as required (i.e., acknowledgment letters, pledge reminders, etc.)
8. Prepare acknowledgment letters timely and accurately
9. Send pledge reminders and notify the Director of the Development of unpaid pledges and have a plan for follow-up
10. Prepare reports and presentations for the Director of Advancement
11. Provide staff services to the Advancement Committee and other department staff as assigned
12. Ensure that donors and volunteers feel valued and supported when requesting information and assistance
Fund Development
13. Work closely with Development Team (esp. Marketing staff) to develop and send email blasts utilizing donor management database
14. Using analysis, produce donor segmentation reports for applicable campaigns
15. Collaborate with the development team to produce viable fundraising campaigns
General
16. Support and help manage fundraising events, donor cultivation events, and other related activities.
17. Represent San José Clinic at community events or meetings as necessary
18. Safeguard donor and patient confidentiality at all times
19. Support a culture of philanthropy and consider a personal gift to further the Clinic’s mission
20. Participate in conferences and staff meetings
21. Follow all HIPAA and OSHA guidelines and regulations, including assisting HIPAA and OSHA Officers in ensuring compliance
22. Maintain established San José Clinic policies, procedures, objectives, quality assurance, safety, environmental and infection control
23. Implement job responsibilities in a manner that is consistent with the San José Clinic Mission and Code of Conduct and is supportive of San José Clinic's cultural diversity objectives
24. Perform other duties as assigned

Requirements
Qualifications, Education, and Experience:
1. Bachelor’s degree from an accredited university or comparable combination of education/experience.
2. At least two years of special events and development experience in a fund development setting.
3. Two years of Excel experience, required.
4. Can demonstrate excellent attention to detail, organizational skills, multi-tasking, and adequate time use. Also able to handle and complete multiple tasks or projects with multiple deadlines.
5. Ability to deal professionally, courteously, and efficiently with all external and internal partners.
6. Must be proficient in Microsoft Office Suites and donor management database (Experience and understanding a CRM System is a plus)
7. Can demonstrate practical verbal and written communication skills.
8. Can demonstrate effective customer relation skills, working with diverse populations, often in fast-paced environments.
9. Bilingual in English/Spanish preferred, not required.
