Position Summary

This position is a direct report of the Chief Information Officer and is part of the San Juan College IT Leadership team. This position works with the workstream team coordinators, the Workday implementation team, third party consultants, the CHESS Program Management Office and Project Managers, ensure communication of program deadlines and deliverables. Ensure all deadlines are met. Update project plans and report accomplishments and issues. Address project risks and implement identified mitigation plans. Track issues, update solutions, and escalate as needed.

This is a 3-year temporary position, and there is possibly of working remote with occasional on campus and other travel locations based on the need of the implementation.

MAJOR DUTIES

  • Reports Directly to the CIO and is a member of the ITC Leadership Team.

Coordinate the Expected Deliverables of the Technical Workstream Team:

  • Foundation Tenant
  • Foundation Data Model (FDM)
  • Foundation Alignment Sessions
  • Technical (Integrations and Reports) requirements gathering
  • Configure & Prototype tenant build
  • Functional unit testing
  • Customer Confirmation Sessions
  • Integration and Reports unit testing
  • End to End Tenant Build
  • Test Preparation
  • Unit Testing
  • End to End Testing
  • Final Testing
  • Cutover Plan development
  • Gold/Pre-Production tenant build
  • Move to Production
  • Go-Live

Responsibilities:

  • Coordinate the technical workstream projects

  • All other functions leads
  • Ensure that the technical leads integrate and coordinate with their respective business partners
  • Daily team meetings (as required)
  • Bi-weekly technical lead meetings
  • Project Communications
  • Weekly meeting with program technical executive
  • Project/program status reporting achieved thru Smartsheet dashboards maintained by the PMs
  • All artifacts and communications will be completed within the established MS Teams channels
  • Coordinate with the other Workstream Leads
  • Directing 4 direct Staff Members (1 dotted lined) and student employees
  • Coordinate with the other San Juan College IT Directors
  • While the majority of this position is on Enterprise Resource Planning(ERP)/Student Information’s Systems (SIS) Implementation, it will including other related projects.
  • ITC Leadership meetings:
  • Weekly Leadership Meeting
  • Weekly Business Operations Meeting
  • Weekly Master Project Meeting
  • Weekly Security Meeting
  • Senior SJC Leadership Meetings
  • Investigate, analyze, and make recommendations for technologies that align with our Workday environment.
  • In coordination with the San Juan College CIO, represent the CIO in the implementation.
  • Devotes a majority of work time to supervisory duties; Customarily and regularly directs the work of two or more other employees.
  • Makes recommendations to hire, promote, and discipline direct reports.
  • Conducts annual performance reviews of all direct reports.
  • Performs related duties as assigned.

KNOWLEDGE REQUIRED BY THE POSITION

  • Current and demonstrated high level knowledge in application and software systems.
  • Knowledge of project planning and management.
  • Knowledge of software Lifecycle.
  • Knowledge of software evaluation, selection, and purchasing processes.
  • Must possess strong verbal and written communication skills.
  • Skill in problem solving, time management, listening and critical thinking.
  • Excellent organizational skills and attention to detail.
  • Ability to establish and maintain working relationships with internal and external stakeholders.

SUPERVISORY CONTROLS

The Chief Information Officer assigns work in terms of department goals and objectives. The supervisor reviews work through conferences, reports, and observation of department activities.

GUIDELINES

Guidelines include all Federal, State and Local laws, statues policies and procedures as well as San Juan College security policies, FERPA industry best practices, social media guidelines, and college and department policies and procedures. These guidelines require judgment, selection, and interpretation in application. The position develops departmental guidelines.

COMPLEXITY/SCOPE OF WORK

The work consists of varied complex duties that impact key information systems for the College. Frequent changes to industry standards and technology updates contribute to the complexity of the position.

The purpose of this position is to direct the colleges ERP/SIS Implementation, managing multiple workstream projects. Success in this position results in the positive implementation of the ERP/SIS systems.

  • Contacts are typically with co-workers, other college personnel, CHESS and Workday personnel, faculty, staff, students, vendors, and members of the general public. Contacts are typically to give or exchange information, to resolve problems, to provide services, or to motivate or influence persons; or to justify, defend or solve matters.

PHYSICAL DEMANDS/ WORK ENVIRONMENT

  • The work is typically performed at a desk or table while intermittently sitting, standing or stooping.
  • The work is typically performed in an office.

SUPERVISORY AND MANAGEMENT RESPONSIBILITY

This position has direct supervision over the Application Architect (1), Software Engineer (1), and the Testing Manager (1), as well as partial supervision of the CRM Specialist (1).

MINIMUM QUALIFICATIONS

  • Knowledge and level of competency commonly associated with the completion of a Bachelor’s degree in Information Technology, Computer Science, Business with IT or project planning focus or other course of study related to the occupational field.
  • Five to seven years of relevant experience is required. Master’s degree in previously referenced fields is preferred.
  • Previous supervisory experience and experience with a higher education is required.
  • Knowledge of a broad range of computer technologies.
  • Current and demonstrated high level knowledge in application and software systems, Preferable with Enterprise Resource Planning(ERP)/Student Information Systems(SIS) is preferred.
  • Demonstrated success in Large Scale Projects.
