Position Summary
This position performs clerical and customer service duties in support of the department’s student registration and records management processes.
ESSENTIAL DUTIES
- Provides customer services; answers telephone and greet visitors; provides information and assistance; refers to appropriate personnel; takes messages and makes appointments.
- Understands, explains, and follows the Family Educational Rights and Privacy Act (FERPA), related to student records. Provides forms and instructions to students and enters release information into computer system.
- Records, registers, drops and withdraws students from classes; enters withdrawal grades as appropriate; troubleshoots and resolves registration error codes, and billing issues due to data entry errors.
- Runs query for Non-Attending Students and processes drops and grade corrections. Collaborates with instructors on record corrections and trains them on procedures. Runs query for web address changes and updates student record.
- Collaborates with Financial Aid, Business office and Institutional Research regarding error corrections.
- Provides instructions and guidance on way finding on the website
- Executes and posts record corrections; researches, reviews and completes data error corrections; receives and updates student record demographic information and student major status; removes and documents suspensions; adds or removes holds on student records.
- Documents receipt of high school transcripts and enters data into computer system.
- Sorts and files completed paper documents in preparation for scanning; scans and indexes documents.
- Provides instructions for the completion of transcript request forms and enrollment verification forms; disburse completed documents.
- Explains residency requirements; provides instructions for the completion of forms; conducts initial residency reviews; interprets residency laws.
- Provides information to students related to the completion of graduation petitions; processes petitions.
- Performs related duties.
KNOWLEDGE REQUIRED BY THE POSITION
- Knowledge of modern office practices and procedures.
- Knowledge of college and department policies and procedures.
- Knowledge of college admissions and residency requirements.
- Knowledge of computers and job-related software programs.
- Skill in prioritizing and organizing work.
- Skill in the use of such office equipment as a computer, scanner, fax machine, and copier.
- Skill in oral and written communication.
SUPERVISORY CONTROLS
The Registrar assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the final results.

Guidelines include college and department policies and procedures. These guidelines are generally clear and specific, but may require some interpretation in application.
COMPLEXITY/SCOPE OF WORK
- The work consists of related clerical and customer service duties. Frequent interruptions contribute to the complexity of the position.
- The purpose of this position is to provide clerical and customer service support for the registration of students. Successful performance contributes to the efficiency and effectiveness of department operations.

- Contacts are typically with co-workers, other college employees, students, and the general public.
- Contacts are typically to give or exchange information, resolve problems, and provide services.
PHYSICAL DEMANDS/WORK ENVIRONMENT
- The work is typically performed while intermittently sitting, standing, stooping or walking. The employee occasionally lifts light objects.
- The work is typically performed in an office.

MINIMUM QUALIFICATIONS
- Ability to read, write and perform mathematical calculations at a level commonly associated with the completion of high school or equivalent.
- Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/ internship or having had a similar position for one to two years.
