Position Summary
This position is responsible for providing administrative assistance for assigned School of Energy operations, including the Commercial Driver’s License (CDL) Program and the Heavy Equipment Operator (HEO) program.
MAJOR DUTIES
- Answers telephone and greet visitors; provides information and assistance; refers to appropriate personnel; takes messages and makes appointments.
- Advises prospective students regarding the requirements of entry into the CDL and HEO Programs.
- Maintains and files records as required by the New Mexico Motor Vehicle Department.
- Establishes, maintains and files records as required by the National Center for Construction Education and Research (NCCER)
- Builds relationships with and coordinates with multiple funding agencies throughout the Four Corners Regions to secure student sponsorships.
- Advises prospective students on best sources of funding and criteria associated with each.
- Secures approvals and maintains records of sponsorships.
- Coordinates billing with the SJC Business Office.
- Works with incoming students to access technological and other SJC resources prior to the start of class.
- Manages and adjusts enrollment on an ongoing basis to ensure full classes.
- Registers students for the HEO program. Coordinates with Registration to enroll CDL students.
- Travels to Career Fairs to represent CDL, HEO and SOE programs of study.
- Coordinates with others to records CDL Skills Tests payments.
- Schedules Skills Tests for non-students.
- Sorts and distributes incoming mail.
- Maintains files and records.
- Schedules appointments; makes travel arrangements.
- Coordinates meetings; prepares meeting agenda, minutes, correspondence and reports; makes room reservations.
- Maintains office supply inventory; makes purchases as needed.
- Prepares requisitions and processes expenses.
- Creates class sections and inputs course changes.
- Updates the School of Energy website.
- Serves on college committees.
- Assists in program accreditation functions.
- Assists students with program requirements and college resources.
- Performs related duties.
KNOWLEDGE REQUIRED BY THE POSITION
- Knowledge of New Mexico Motor Vehicle Department regulations.
- Knowledge of accreditation standards associated with the National Center for Construction Education and Research.
- Knowledge of modern office practices and procedures.
- Knowledge of college and program policies and procedures.
- Knowledge of computers and job-related software programs.
- Strong prioritizing and organizing skills.
- Skill in the use of such office equipment as a computer, scanner, fax machine, and copier.
- Skill in oral and written communication.
- Skill in listening and patience.
SUPERVISORY CONTROLS
The supervisor assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the final results.

Guidelines include college, state regulatory, accrediting agency and program policies and procedures. These guidelines are generally clear and specific, but may require some interpretation in application.
COMPLEXITY/SCOPE OF WORK
- The work consists of complex administrative duties. Requires strong organizational skills, attention to detail and the ability to prioritize commitments. Frequent interruptions, combined with the requirement to know details of multiple funding and educational programs contribute to the complexity of the position.
- The purpose of this position is to provide administrative support for the operations of the School of Energy. Successful performance contributes to the efficiency and effectiveness of school operations.

MINIMUM QUALIFICATIONS
- Knowledge and level of competency commonly associated with completion of specialized training in the field of work, in addition to basic skills typically associated with an associate’s degree.
- Sufficient experience to understand the principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/ internship or having had a similar position for three to five years.
