We are looking for a customer service focused individual to join our team at one of our conventional properties in Coalinga, CA as an On-Site Resident Manager. This individual ideally will have property management experience and have had experience managing a staff. We are looking for someone with strong attention to detail and is able to assist their team in developing to reach their goal along with the overall goals of the management company.
What you will be doing in a nutshell:
- Understand and enforce SAN MAR Properties, Inc. policies and procedures; the community’s rules and regulations; and the terms of the lease and other addenda to the lease
- Provide staff with leadership and supervision which motivates staff to effectively perform
- Supervise the work performance of maintenance and leasing staff. Prioritize and schedule work assignments
- Comply with the state Fair Housing (Residential Landlord & Tenant Act) and all other governmental laws and regulations
- Immediately report any employee injuries, tenant injuries or accidents to the corporate office
- Immediately report any safety or health hazard or other unusual events to the Property Supervisor
- Oversee move-in and move-out inspection of all units
- Issue and safeguard keys
- Conduct a minimum of one site team meeting a month to include education and communication from manager’s meeting
- Account for all income received, make bank deposits daily from the 1st to the 5th and every 72 hours after if needed and report to bookkeeping in a timely manner
- Collecting rents when due, serving late rent notices by the 6th of the month, collecting on delinquencies legal fees and late charges
- Obtain competitive bids and proposals for work and services necessary for the operation of the property
- Maintain accurate and complete files on:
- Residents to include:
- Current employment including work telephone number
- Number of vehicles parked on property including license numbers
- Assigned parking number or permit
- Emergency information
- Apartment maintenance
- Traffic logs
- Move-ins and move-outs
- Make certain that procedure manuals, safety manuals and hazardous materials manuals are kept current, orderly and readily available to staff members
- Maintain an adequate supply of forms, office supplies and maintain an inventory of all property equipment and supplies
- Obtain purchase orders for labor/material over $150.00
- Approve work orders and invoices for payment after work has been checked and approved
- Regularly attend all company training classes and seminars
- Attend court proceedings scheduled for delinquent residents and evictions (if needed)
- Communicate with the Property Supervisor on all housing violations, any special tenant arrangements or potential problems
- Perform all other duties as assigned
- Sales techniques
- Professionalism in telephone manner: greeting, qualifying, price questions, invitation to prospect, directions, and closing comments using procedures outlined in the procedure manual
- Professionalism during on-site presentation; greeting, qualifying, demonstration, overcoming objections, and closing techniques
- Follow up with prospect within 24 hours
- Collect deposit to hold apartment until the applicant is qualified
- Responsible for marketing of property
- Telephone the competition quarterly for rent comparisons, vacancies, and deposits
- Personally visit local apartment competition at least every three months to check market rent, security deposit, application fees, and condition of the property
- Prepare market surveys of competitive properties in the area
- Ensure all property signage and leasing material (which may include brochures, balloons, guest cards or newsletters) are utilized
- Keep rental office clean, neat and organized
- Personally inspect the property daily including the common area (pool, spa, club room, laundries, playground, etc.), offices, parking lot and carports, models and vacant apartments to ensure the property has sharp curb appeal and all models and vacant apartments are market ready within the guidelines established by SAN MAR Properties, Inc.
- Overall responsibility to manage property so that owner’s interests are protected and that the apartment community is clean, friendly and a comfortable place for people to live
- Effectively lease the property under the rental policies established for the property:
- Qualify prospective residents, verify and approve rental applications
- Renew leases under current rental policies
- Upon notice to move from a resident promptly schedule vendors to complete the necessary maintenance to complete the turn to maintain apartments at acceptable levels of rent-readiness
- Ensure courteous and timely response to all resident request and work orders
- Contact all who give notice and makes every attempt to encourage them to stay
- Resident activities
- Achieve the goals and objectives established for the property
- Prepare detailed and accurate reports and submit to the corporate office by due dates:
- Action Plans
- Accomplishments
- Deposit tracking on Monday Morning Reports
- Friday Call Logs or Outside Marking if under 95% occupied (only if no leasing agent)
- Market Surveys
- Monday Morning Reports before 10:00am
- Newsletters submitted by the 15th (if applicable)
- Time Records For All Staff
- Training Evaluation Forms
- Ensure final closings are received in corporate office no later than 10 days after the move out
Requirements for all positions:
- Valid Driver's License
- Reliable transportation
- Proof of Vehicle Insurance
- Background checks including criminal, DMV and credit will be run on qualified candidates. We will also verify past employment.
Job Type: Part-time
Pay: $16.00 - $18.00 per hour
