ESSENTIAL DUTIES AND RESPONSIBILITIES:
Billing & Invoicing:
- Generate and process client billing based on discretionary agreements, ensuring accuracy and adherence to timelines.
- Review and verify account values, fees, and charges in accordance with client agreements.
- Track outstanding fees and follow up to ensure timely collections and resolution of billing discrepancies.
Client Account Management:
- Assist with new client onboarding, including setting up fee schedules, invoice templates, and billing methods.
- Maintain and update client billing information, ensuring accuracy in payment methods and billing preferences.
Data Analysis & Reporting:
- Conduct audits of client accounts and billing settings to ensure accuracy and compliance.
- Reconcile fee billing data and generate reports to identify variances and process improvement opportunities.
Compliance & Process Improvement
- Ensure billing practices align with company policies and regulatory requirements.
- Identify inefficiencies in billing workflows and collaborate with teams to enhance operational efficiency.
Customer Service & Collaboration
- Serve as a primary contact for client billing inquiries, ensuring prompt and professional resolution of issues.
- Work closely with internal teams to maintain accurate billing data.
- Assist with daily advisor requests and participate in meetings, committees, and projects as needed
ESSENTIAL SKILLS and/or EXPERIENCE
- 1 years of experience with a Registered Investment Advisor (RIA) or within the financial services industry, preferably in a fee billing capacity.
- Strong understanding of billing processes, financial transactions, and investment advisory services.
- Proficiency in Microsoft Excel and familiarity with Portfolio Accounting Systems (PAS), including Orion, Advyzon, Tamarac, or Black Diamond.
- Experience with custodian systems such as Fidelity, Schwab, Pershing, Goldman Sachs, and Raymond James.
- Excellent attention to detail with strong analytical and problem-solving skills.
- Knowledge of industry regulations and compliance standards.
- Strong verbal and written communication skills, with the ability to interact professionally with clients and internal team members.
- Ability to manage multiple tasks, meet deadlines, and work independently in a fast-paced environment.
- Bachelor's degree preferred.
