ESSENTIAL FUNCTIONS :

1. Communications Management : Acts as the primary recipient for the HR Hotline email account and maintains a standard 24-hour response to time Monday-Friday. Reviews all incoming emails and provides appropriate responses to the sender. Routes emails to members of the HR and / or Payroll teams according to content and ensures timely notification and follow through of all communications.

2. Recruiting : Coordinate the full life cycle recruiting process, to include managing recruiting platform(s) accounts and assigning access, posting, updating, and closing advertised positions. Scheduling and conducting phone screens / interviews. Maintain consistency in recruiting guidelines, forms, templates, process and propose changes and updates when needed. Prepare bi-weekly recruiting updates for both Sand and Hospitality to ensure visibility with current open positions.

3. Pre-Employment : Screening : Manages the pre-employment screening process to ensure consistency and compliance, including scheduling physicals, drug tests and appropriate background checks. Works with property leadership and HR team to address results, propose and execute changes to preemployment screening policies and procedures.

4. Workflows : Manages all employee workflows in the HRIS system, such as pay changes, status changes, promotions, demotions, separations, marital status, etc. Conducts wage surveys within the labor market to determine competitive wage rate. Oversees delegation of workflow portals in HRIS system and HR outlook contact folders.

5. New Hire Orientation : Coordinates and / or delivers new employee orientations for office staff and hospitality leadership and ensures all required new employee information is received and entered the HRIS system. Assigns new Manager access to systems and coordinates on-going training schedule and contributes to training content.

6. Performance Reviews : Manages the Performance Review process for all associates. Using the HRIS system to notify all managers at least 30 days in advance of all reviews past due and coming due and provides guidance to managers to ensure completion. Work with senior level leadership when needed to ensure all employees are receiving a performance evaluation fairly and on time.

7. Leaves of Absence : Assists the Benefits Coordinator with the Leave of Absence administrative process. Receiving requests for leave forms, notifying Benefits Coordinator of request, calculating response dates / deadlines, and marking outlook calendars to include the Benefits Coordinator for timely follow up. Create, organize, and maintain all files accurately and confidentially. Under the direction of the Benefits Coordinator and HR Generalist, prepare and send all response notices and track receipt of required forms and medical records.

8. Unemployment : Assist HR Generalist to prepare responses for all unemployment claims and submits them to appropriate agency.

9. Regulatory Work : Conducts or assists with record audits and mandatory reports, which may include I-9 audits, EEO-1 filings, AAP, labor law posters, driver’s license / approved and non-approved drivers reporting / audits, payroll audits and other compliance reviews.

10. Committee Involvement : Act as a functioning member of the Safety, Wellness, and Employee Engagement Committees, attending all meetings and ensuring assigned action items are completed timely and championing initiatives to meet the goals of each committee and the company. Contribute pertinent information to the Sand on Demand monthly HR Newsletter.

11. Policy and Procedure : Responds to Associate inquiries regarding a variety of policies and procedures. Refers complex and / or sensitive matters to HR Generalist and / or HR Manager as appropriate.

12. Personnel Files : Organize and maintain all personnel records in paper and electronic format and participate in the annual purging and destruction of files when appropriate.

13. Professional Growth : Maintains knowledge of legal requirements and government reporting regulations affecting human resources functions and ensures policies, procedures, and reporting are incompliance. Represents the company through community involvement and participation in professional networking opportunities and job fairs.

ADDITIONAL DUTIES :

1. Provide coverage for front desk duties in the absence of the Front Office Administrator

2. Takes ownership of the monthly HR Newsletters, Sand on Demand

3. Act as the technical resource to all company locations to resolve problems related to the HRIS system.

4. Under the direction of the HR Manager, provide support and training for HR Internships

5. Contribute to learning and development and other projects as assigned.

6. All other duties as assigned.

SKILLS AND KNOWLEDGE :

  • Must have knowledge of federal, state, and local employment laws.
  • Strong verbal and written communication skills
  • Excellent organizational skills and attention to detail
  • Excellent time management skills
  • Ability to follow through on projects from inception to completion.
  • Ability to work independently and as a team.
  • Proficient with Microsoft Office Suite, payroll, and timekeeping systems
  • Analytical and problem-solving skills
  • High ethical conduct and standards and ability to maintain confidential information.

SUPERVISORY EXPERIENCE

This position has no direct supervisory responsibilities.

EDUCATION REQUIREMENTS :

Associate degree in HR required.

One year of human resources administration experience preferred. .

OTHER CONSIDERATIONS

Position requires minimal travel and a valid Class D license.

PHYSICAL DEMANDS ANALYSIS :

The Human Resources Coordinator works primarily indoors in a temperature-controlled environment. This position requires long periods of sitting and computer use, frequent verbal, and written communication, and listening skills.
