Position Overview
The Event and Conference Sales Manager is responsible for orchestrating all aspects of catering and conference events, ensuring seamless execution and top-tier service. This role requires strong leadership, exceptional organizational skills, and a keen eye for detail to bring our clients' visions to life.
Key Responsibilities
Event Planning & Coordination:
- Partner with clients to understand their vision and provide expert guidance throughout the planning process.
- Develop comprehensive event proposals, including budgets, timelines, and customized menus.
- Coordinate logistics with resort departments to ensure seamless execution of all event elements, including setup, audiovisual needs, and room configurations.
- Maintain continuous communication with clients to address any changes or special requests before and during events.
Sales & Client Relationship Management:
- Proactively promote resort event spaces and services to drive new business.
- Conduct site visits to showcase our stunning venues and amenities.
- Build and nurture relationships with existing clients to encourage repeat business and referrals.
- Collaborate with the sales and marketing teams to develop innovative strategies to attract corporate and social events.
Team Leadership & Management:
- Lead, train, and mentor a team of catering and conference professionals to ensure exceptional service.
- Assign tasks effectively, setting clear expectations and deadlines.
- Conduct performance evaluations and implement training programs to enhance team expertise.
Financial Oversight:
- Develop and manage budgets to maximize profitability while ensuring client satisfaction.
- Negotiate with vendors to secure the best pricing and service agreements.
- Monitor event expenses and revenue, preparing financial reports and forecasts.
- Implement pricing strategies that align with market trends and resort goals.
Quality Assurance & Guest Experience:
- Maintain the highest standards of excellence to exceed guest expectations.
- Conduct post-event evaluations to gather feedback and identify areas for improvement.
- Promptly address guest concerns and implement effective solutions.
- Continuously explore opportunities to enhance event experiences and service delivery.
Qualifications & Skills
- Education & Experience: Bachelor's degree in Hospitality Management, Event Planning, or a related field (or equivalent experience).
- Event Expertise: Proven experience in catering and conference services within a luxury hotel or resort setting.
- Detail-Oriented: Strong knowledge of event planning, food and beverage operations, and logistics.
- Communication & Interpersonal Skills: Excellent verbal and written communication, with the ability to build lasting client relationships.
- Technology Savvy: Proficiency in event management software, Microsoft Office, and POS systems.
- Flexibility: Ability to work evenings, weekends, and holidays as needed to ensure flawless event execution.
Physical & Work Environment Requirements
- Ability to stand and move for up to 5 hours at a time and maneuver between multiple event spaces.
- Capable of lifting 25-50 lbs. as needed.
- Work is performed both indoors and outdoors, requiring adaptability to varying temperatures and weather conditions.
