Job Title: Estimator Support Specialist

Location: Arcadia, FL

Summary: We are seeking a highly organized and detail-oriented Estimator Support Specialist to join our team. The ideal candidate will provide comprehensive support to our estimating team while also assisting with administrative tasks to ensure the smooth flow of operations. This role is essential in ensuring that estimations are accurate, and projects are properly managed from start to finish. The Estimator Support Specialist will work closely with estimators and project managers, assisting with documentation, data entry, and communication tasks. Sandhill’s mission is to provide superior native plants and ecological restoration services to help steward Florida’s native and created habitats.

Responsibilities:

· Assist estimators with preparing cost estimates for projects, ensuring all necessary information is gathered.

· Input and maintain project details, cost data, and estimates into project management software and spreadsheets.

· Prepare and update spreadsheets, reports, and proposals related to bids, estimates, and project costs.

· Coordinate with vendors and subcontractors to obtain quotes and pricing information.

· Help with organizing and filing project documentation, including contracts, bids, and project correspondence.

· Communicate with internal teams to track project timelines and ensure estimates are completed accurately and on schedule.

· Support the estimation team with administrative tasks such as calendar management, scheduling meetings, and organizing documentation.

· Assist with the preparation of bid packages and ensure all necessary documents are included.

· Monitor and track the progress of ongoing projects to update estimates as required.

· Follow up with clients regarding bid/proposal status.

· Update internal records regarding project approvals, timelines, contracts, and priorities.

· Perform general administrative duties, such as answering phones, responding to emails, and file management.

· Takes initiative to streamline file management operations via CRM strategies.

· Work closely with Estimator, Project Managers, COO, and CEO to keep track of important deadlines and project details.

· Assist Estimator in fielding customer inquiries for incoming or active projects.

· Assist Estimator with conducting site visits or attending pre-bid meetings when needed.

Qualifications:

· Strong knowledge of Microsoft Office Suite (Excel, Word, Outlook, Project)

· Bachelor’s degree (or equivalent) in Environmental Studies or similar

· Minimum 2 years’ professional experience in ecosystem management & restoration

· Prior knowledge of industry practices, methods for ecological restoration, and vegetation management

· Must exercise good judgement, critical thinking, and verbal skills

· Direct contact with customers and prospective customers occurs daily. Therefor above average verbal skills and excellent customer relations knowledge are necessary. Strict adherence to the company’s Employee Dress Code is required as part of our effort to maintain stellar customer relations.

· Ability and willingness to work with a team to achieve desired results.

· Excellent organizational skills with the ability to manage multiple tasks and meet deadlines.

· Strong attention to detail and accuracy when entering and reviewing data.

· Ability to work independently as well as part of a team.

· Proactive attitude and a willingness to learn and adapt to a busy, ever-changing schedule and work environment.

Physical Demands & Work Environments/Conditions:

· Work schedule: typically, Monday through Friday, 8AM – 4PM, with on-call/occasional before/after hours, as needed.

· Work environment: combination indoor/outdoor settings. Indoor: smoke-free office setting. Outdoor: among Florida’s natural environment; subject to inclement weather (heat, humidity) and adverse conditions (bugs, swamps, dangerous wildlife, etc.)

· Physical demands: including but not limited to bending, crouching, pulling, pushing, and balancing. Hiking through thick vegetation, steep and uneven terrain/banks. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
