Overview
We are seeking a dedicated and detail-oriented Secretary to join our team. The ideal candidate will possess strong organizational skills and be proficient in various office management tasks. The Secretary will manage schedules, handle correspondence, and maintain filing systems while ensuring a welcoming environment for clients and visitors.
Responsibilities
- Manage and organize office operations to ensure efficiency.
- Answer phone calls and respond to inquiries with excellent phone/email etiquette.
- Maintain website, social media site and handle marketing of services provided.
- Prepare and file documents accurately, ensuring all records are up-to-date.
- Utilize Google Suite for document creation, spreadsheets, and presentations.
- Assist team members with varied clerical duties including accounts receivable, accounts payable, data entry, filing, researching and scheduling as needed.
- Coordinate meetings, take minutes, and distribute information as required.
- Maintain confidentiality of sensitive information in compliance with company policies.
- Support office management tasks such as inventory management and supply ordering.
- Demonstrate effective time management skills to prioritize tasks efficiently.
Qualifications
- Proven experience as a Secretary or in a similar administrative role is preferred.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Proficiency in Microsoft Office Suite Suite applications (Word, Excel, PPT)
- Strong attention to detail with a commitment to accuracy in all tasks.
- Demonstrated time management skills to meet deadlines effectively.
