Job Responsibilities and Tasks:
- Oversee and coordinate office operations, ensuring seamless in-person and remote workflows.
- Act as the primary liaison between departments, vendors, and other business-related duties.
- Acting as a liaison between the employees and upper management when it comes to financial and administrative issues.
- Manage office supplies and equipment, ensuring everything runs smoothly for staff.
- Assist in onboarding new team members, creating a welcoming and supportive experience.
- Maintain accurate records including employee documentation and others.
- Develop and implement systems to improve administrative efficiency and communication.
- Monitor compliance with company policies and workplace safety standards.
- Audit, edit, and complete timecards with input from department managers.
- Submitting payroll on a bi-weekly basis and all other bonus/reimbursement submissions.
- Assist with disciplinary meetings and written reprimands.
Requirements:
- Three or more years of experience in office administration or management.
- Bachelor's degree in business administration or a related field.
- MBA from an accredited program.
- Fully bilingual in English and Spanish.
- Seven or more years of experience in office administration.
- Experience at a personal injury law firm.
- Proven experience in office administration, executive assistance, or similar roles.
- Exceptional organizational skills with the ability to effectively manage multiple priorities.
- Proficiency in office tools and software, including Microsoft Office Suite and project management platforms.
- Excellent verbal and written communication skills to promote collaboration in a hybrid work environment.
- A proactive mindset with a strong focus on inclusivity and fostering a positive team culture.
- Ability to adapt to changing priorities while maintaining attention to detail.
