Job Summary:
Sands Ford of Pottsville is seeking a Quick Lane Administrative Assistant to support the operations of our Quick Lane Service Department. The successful candidate will be responsible for providing administrative assistance, customer service, and support to ensure smooth workflow and exceptional service to our customers. This role requires strong organizational skills, the ability to multitask, and excellent communication with both customers and team members.
Key Responsibilities:
Greet customers and direct them to appropriate personnel in the Quick Lane Service Department.
Schedule appointments, manage the calendar for Quick Lane service, and maintain accurate service records.
Answer phone calls, respond to customer inquiries, and provide detailed information regarding services, scheduling, and pricing.
Process and manage customer paperwork, including estimates, invoices, service orders, and warranty information.
Maintain communication between customers and service technicians regarding updates on vehicle status.
Assist with data entry, including updating customer accounts, entering service details, and managing vehicle history records.
Ensure the reception area is clean, organized, and welcoming.
Coordinate parts ordering and maintain inventory records in collaboration with the service technicians.
Handle payment processing, including cash, credit card transactions, and other financial transactions.
Provide general administrative support to the Quick Lane Manager and team, such as preparing reports and managing files.
Support in promoting and maintaining customer satisfaction through excellent service and attention to detail.
Qualifications:
Previous administrative or customer service experience, preferably in an automotive or service environment.
Strong organizational skills and the ability to manage multiple tasks simultaneously.
Excellent verbal and written communication skills.
A customer-oriented attitude with a commitment to delivering high-quality service.
Ability to work independently and as part of a team.
Attention to detail and strong problem-solving abilities.
Working Conditions:
Full-time position with typical business hours.
Primarily office-based work within the Quick Lane department, with occasional interaction in the service area.
