The Maritime Museum of Sandusky is seeking a part-time Administrative Assistant to support daily operations. Reporting to the Executive Director, this position provides administrative and accounting support. The ideal candidate will be detail-oriented, proactive, and comfortable managing a diversified workload.
Key Responsibilities
- Assist with the daily operations of the Museum.
- Maintain and update mailing lists, Little Green Light donor database, and calendars.
- Assist with museum mailings, including the member newsletter, appeals, and Big Splash Raffle mailers.
- Assist the Membership Chair with membership-related tasks and outreach.
- Assist with the coordination of the Big Splash Raffle.
- Prepare weekly bank deposits and record income in QuickBooks.
- Run financial reports and reconcile credit card statements monthly.
- Maintain an efficient filing system for museum records, ensuring timely retrieval of information.
- Assist in planning and coordinating special projects and events, including preparing materials, handling logistics, and disseminating information.
- Support marketing and outreach efforts, including assisting with direct mail campaigns and basic promotional tasks as needed.
- Serve as a liaison with staff/volunteers, community partners, and external agencies, handling sensitive information professionally.
- Answer routine and non-routine inquiries, ensuring professional and timely responses to requests for information.
- Assist with financial record-keeping, including copying check requests, reconciling credit card expenses, and supporting accounts payable functions as needed.
- Order and maintain office and hospitality supplies.
- Record and distribute meeting minutes.
- Manage incoming correspondence, including email and mail.
- Use a variety of software, including Microsoft Suite, Google, Quickbooks (Word, Excel, PowerPoint, Outlook, Google Drive, Google Docs, Quickbooks Online etc.)
- Other duties as assigned to support the Museum’s mission.
Qualifications
- Required: High school diploma or GED and experience with accounting software.
- Preferred: Associate’s degree and two years of administrative experience.
· Proficient in Microsoft Office Suite and other computer applications.
- Strong organizational, communication, and collaboration skills.
- Ability to work independently and prioritize tasks effectively.
- Experience in a nonprofit or museum setting is preferred but not required.
Compensation & Benefits
- $16-$18 per hour, based on qualifications and experience
- Part-time, approximately 24 hours per week. Schedule is extremely flexible with occasional evening or weekend work to support events.

Work Environment
- This is an in-person position at the Maritime Museum of Sandusky
- Work is performed in an office environment.
- No travel required.
