SUMMARY:
The Office Manager and Events Planner is responsible for the overall smooth operation of the office, ensuring that administrative functions are carried out efficiently and effectively. This role involves a combination of administrative duties, office management, corporate affairs, and event planning. The Office Manager and Events Planner will work closely with all levels of staff and management to support the organization's goals and maintain a positive work environment.
ESSENTIAL FUNCTIONS:
- Manage general corporate affairs matters including contract management – creating and maintaining data base for contracts, liaison between commercial sales team for routing contracts to legal and finance for review and approval; maintain corporate documents and filings including but not limited board of directors, meeting minutes, certificates of incorporation, annual business filings, update organizational charts, and collaborate with finance team and insurance broker to manage liability insurance renewal process.
- Coordinate company events including on-site and off-site meetings, conferences (Strategic Development Planning, Townhall meetings, customer visits, Tech Summit, etc.).
- Assist marketing team with logistics for transporting materials used at tradeshow events.
- Facilitate internal communications and promote a positive work environment.
- Collaborate with IT and facilities teams to schedule maintenance of office equipment and facilities repairs.
- Submit expense reports for C-Suite executives.
- Arrange travel accommodations for management and/or visitors as needed, global and domestic.
- Manage office supplies inventory, including ordering and stocking.
- Oversee day-to-day office operations, ensuring a clean, organized and safe work environment.
- Perform other duties as assigned.
QUALIFICATIONS:
- Bachelor’s degree in Business Administration, Management, or a related field preferred.
- 5 years of experience in office management and administration, preferably in a legal or finance environment.
- 3 years event planning experience.
- Experience managing calendars for executive leadership.
- 3 years of experience in organizing global travel arrangements, preferred.
- Strong organizational, follow-up, and multitasking abilities.
- Notary of Public required or open to acquiring.
- Excellent verbal and written communication skills.
- Proficiency in MS Office (Word, Excel, PowerPoint) and office management software.
- Basic accounting and financial management skills.
- Problem-solving and decision-making capabilities.
- Ability to work independently and as part of a team.
