MD owned and operated med spa in Nashua NH is seeking a med spa front desk manager and patient care coordinator with a strong administrative background, for our growing med spa practice.

This practice is owned by a board certified, well-respected, fellowship trained surgeon, with focus on maintaining a down-to-Earth friendly office setting. This practice specializes in non-surgical cosmetic procedures including injectables such as Botox and dermal fillers, advanced laser and skin care services, non-invasive body contouring procedures, and more.

The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service and administrative support. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks effectively in a fast-paced environment. The winning candidate must be willing to work in a sleeves-rolled, hands-on fashion, doing "whatever it takes" to help the team grow. There must be a focus on driving sales and results, coupled with a strong desire to implement and sustain organization and efficiency throughout the practice. Candidate must be comfortable and capable of working with a team of practitioners, manage front desk duties and be the face and voice of the practice. Relationship building ability as well as a desire to perform outreach with a positive attitude and friendly demeanor is a must. The selected candidate will report directly to the physician owner and practice manager.

Responsibilities:

1. Front desk

  • Greet and welcome visitors in a friendly and professional manner.
  • Answer incoming calls, directing them to the appropriate personnel or taking messages as needed.
  • Manage appointment scheduling and maintain an organized calendar for staff members.
  • Perform clerical duties such as filing, data entry, and maintaining office supplies inventory.
  • Utilize computer software, including Google Suite, for document creation and management.
  • Proofread documents for accuracy and clarity before distribution.
  • Assist with administrative tasks as assigned by management.
  • Ensure the front desk area is tidy and presentable at all times.

2. Sales

  • Assist prospective patients in making comfortable and confident decisions to select skin care products, treatments and procedures, through extensive phone conversations and live consultations.

3. Marketing

  • Assist in putting together events to promote services – must be willing to help with set up, break down, planning, and participating in a sales capacity at events, as well as occasional community outreach to increase referrals.
  • Knowledge of social media marketing and willingness to post on social media as per the rules of the practice

4. Additional Responsibilities:

  • Organization – technological savviness, Task orientation, timely completion of assignments, and an innate desire to “get things done” is a must. Knowledge of medical software is preferred not required.
  • Positivity – we love patient care and seek a bubbly, positive, sunny outlook from our winning candidate. A sense of humor is a must and even the smallest "drama" is a deal breaker

Job Requirements:

  • Associates degree preferably in aesthetic or medical field- Medical Assistant, esthetician etc
  • 2-5 years of front desk/ administrative experience – preferably in cosmetic medical, device/pharma, med spa field or similar.
  • Outstanding verbal and written communication and presentation skills.
  • Belief in the power of cosmetic services to change the lives of appropriate candidates for the better.
  • Type accurately at no less than 40 wpm - 55 wpm a must.
  • Strong computer skills with the ability to learn proprietary software for the medical industry quickly.
  • Willingness to learn about services and products offered in the med spa and to stay updated with trends in the industry.
  • Excellent follow-up and organizational skills – a commitment to timely task completion without compromising quality is a must. Consistently reaching out to hundreds of patients per week
  • Professionalism in dress and presentation, honesty, excellent work ethic, and positive attitude a must.
  • Willingness to utilize existing skills and talent, while simultaneously learning and executing the company’s proven system.
  • Ability to excel individually as well as a productive member of a TEAM.

Pay Structure, Perks, and Benefits:

  • Pay based on results for year one is composed of a hourly base pay and bonuses. Income can grow significantly over time based on results.
  • Positive work environment working directly, daily, with the doctor, management and staff. Trust is placed to work independently several days per week.

Pay: $16.00 - $20.00 per hour
