Job Summary:
The Accounts Payable Specialist performs daily accounting and financial functions related to the compilation and maintenance of accounts payable records, which include entering data into the computer, recording, calculating, and summarizing numbers, as well as reviewing documents for proper completion.

Major Responsibilities/Activities:
- Produce and distribute accounts payable weekly based on purchase requisitions, purchase orders, and contracts submitted by Purchasing and departmental managers.
- Monitor Purchase Order numbers with invoice.
- Produce and distribute year-end IRS documents, (1099’s and annual reporting to the IRS).
- Maintain accurate vendor file of W-9’s
- Post all invoices and obtain proper approvals.
- Review and balance accounts payable to the general ledger.
- Maintain an end of month hard copy of the following: aged payables, checks register, and cash disbursements journal.
- Maintain orderly records and promptly research discrepancies.
- Answers all vendor inquiries.
- Print all accounts payable reports and maintain all accounts payable files.
- Ensure all invoices are properly coded to the correct month and general ledger account code.
- Process and record invoices and checks and keep them current and accurate.
- Perform daily audit to determine the accuracy of all documentation, at the end of each shift or day, and account for all supporting documentation.
- Analyze vendor contracts and ensure timely payment according to contract terms.
- Performs other duties as assigned.
Minimum Requirements:
- Preference is given to qualified Santa Ana Tribal Members.
- High School Diploma or GED
- Four (4) year degree in related field is preferred. Directly related experience may be substituted on a year for year basis.
- Minimum of two (2) years of accounts payable experience.
- Casino audit experience preferred.
- Excellent written and verbal communication skills including ability to communicate with multiple levels of management.
- Must be able to read, write, speak and understand English.
- Must be 10-key proficient.
- Knowledge of spreadsheet software and word processing software required with use of Microsoft products including Word, Excel, Outlook, and Access preferred.
- Knowledge of financial software systems required with use of Infinium software preferred.
- Must have advanced Computer capabilities.
- Must be able to obtain and maintain a Pueblo of Santa Ana Gaming and Regulatory Commission key gaming license.
- A smartphone capable of running company applications and communication systems is required. If a smartphone is not provided by the company, a candidate or employee may be provided a smartphone of the company’s choice, through a payroll deduction program.
- All employees are required to proficiently use a smartphone for company applications, email, and text.
