Position Summary
The Data and Donor Engagement Coordinator plays a crucial role in ensuring the smooth operation of the Philanthropy and Outreach (P&O) team. This position is responsible for managing donor databases, supporting event logistics, and providing data-driven insights to enhance donor engagement and fundraising strategies. The role includes processing gifts, inputting donor information, and generating timely and personalized acknowledgments. Acting as the first point of contact for the P&O department, this role requires exceptional organizational skills, attention to detail, and a commitment to excellent donor relations. Occasional travel between Santa Barbara and Santa Maria locations is required.
Key Responsibilities
Manage and maintain donor databases (e.g., DonorPerfect), ensuring data accuracy and efficiency.
Accurately input donor information, gift amounts, designations, and payment details into the fundraising database.
Maintain accurate donor records, including updating contact information and tracking giving history.
Process various types of gifts, including online donations, checks, credit card payments, pledges, and in-kind contributions.
Generate timely and accurate donor acknowledgment letters and receipts, ensuring gifts are promptly recognized with personalized thank-you letters.
Generate reports, segmented donor lists, and donor research using tools like iWave to inform fundraising campaigns and donor engagement strategies.
Support project management tasks using tools like Asana, tracking timelines, milestones, and deadlines for outreach and fundraising initiatives.
Assist with event coordination, including managing RSVPs, gift processing, and providing logistical support to ensure seamless event execution.
Serve as the first point of contact for the P&O department, providing excellent customer service to donors and maintaining confidentiality.
Collaborate with the P&O team to identify donor engagement opportunities and tailor communication strategies for targeted donor cultivation.
Manage vendor relationships, including invoice processing and ensuring timely delivery of products and services.
Track engagement metrics and feedback to improve campaign performance and donor relationships.
Support grant writing by gathering data, preparing reports, and assisting with grant submissions and progress reports.
Assist with point-of-sale donation processing through platforms like ClinicHQ and ShelterLuv, ensuring seamless integration with donor data.
Attend and support fundraising and outreach events to represent Santa Barbara Humane and manage on-site logistics.
Standard Responsibilities
Provide welcoming, informative, courteous, and non-judgmental customer service; maintain knowledge of Santa Barbara Humane programs and services in order to identify and offer solution-based recommendations and encourage charitable support for the organization.
Practice and promote Fear Free™ animal handling and positive-reinforcement training techniques.
Actively integrate volunteers by providing a welcoming work environment; practicing mentorship and providing training and advancement opportunities.
Follow workplace safety protocols, working in a safe manner at all times and proactively ensure the safety of co-workers, clients, and volunteers by taking immediate action to prevent or address safety concerns.
Keep supervisor apprised of client, staff, volunteer, or animal concerns.
Other duties as assigned.
Qualifications
Required:
Proficiency with donor CRM software (DonorPerfect preferred) and familiarity with donor research tools like iWave.
Experience with project management tools (e.g., Asana) to coordinate and track team workflows.
Strong organizational skills with acute attention to detail, capable of managing multiple priorities and deadlines.
Exceptional communication and interpersonal skills, with a customer-focused approach.
Ability to analyze data and develop actionable insights for campaign optimization.
Valid CA Driver’s License and ability to travel between Santa Barbara and Santa Maria locations as needed.
Preferred:
Fluency in Spanish is highly desirable.
Experience with nonprofit database systems like ClinicHQ and ShelterLuv, particularly for point-of-sale donation processing.
Prior experience in event coordination and donor stewardship.
Physical Demands & Work Environment
Work performed in a shared office setting with regular use of office equipment.
Frequently moves between sitting and standing positions; occasional lifting of 10–25 pounds.
Regular exposure to cleaning chemicals, dust, and animal-related odors when working in shelter areas.
