Position Summary:
The Director of Operations is a key leadership position responsible for overseeing daily operations, implementing strategic initiatives, and ensuring alignment with organizational goals. The DOO will work closely with program directors and senior leadership to streamline processes, optimize resources, and support organizational growth, including the expansion of new office locations. This role requires a proactive, hands-on leader who can manage diverse responsibilities while maintaining high standards of operational excellence. Regular travel between office locations is required to provide oversight and support.
Key Responsibilities:
Operational Leadership
- Develop and implement policies and procedures to standardize workflows, ensuring consistency, compliance, and operational excellence.
- Evaluate current processes, identify areas for improvement, and collaborate with teams to implement effective solutions.
- Step into operational tasks when necessary to ensure timely and high-quality outcomes.
Facilities and Resource Management
- Oversee the safety and maintenance of all facilities, ensuring compliance with regulatory standards.
- Manage the organization’s fleet of vehicles, including usage, maintenance, and mileage tracking.
- Coordinate with vendors for repairs, procurement, and contract management to optimize resource utilization.
Administrative Oversight
- Manage key administrative functions such as timekeeping, HR compliance, and resource allocation.
- Maintain detailed records of organizational assets, including phones and laptops, and leverage technology to enhance operational effectiveness.
Marketing and Growth Initiatives
- Oversee the marketing department to develop and execute strategic plans that enhance visibility, increase enrollment, and support census growth across programs.
- Collaborate with leadership to align marketing efforts with organizational goals, monitor campaign performance, and implement data-driven adjustments for maximum impact.
Strategic Growth and Expansion
- Lead operational planning and execution for new office locations, including a satellite office in San Luis Obispo County.
- Assess the feasibility of further expansion opportunities and develop strategies to support sustainable growth.
Collaboration and Team Support
- Work closely with program directors to address operational needs, ensure compliance with training requirements, and align activities with key performance indicators (KPIs).
- Conduct regular operational meetings to review KPIs, claims, authorizations, and new procedures.
- Foster a culture of continuous improvement and excellence through mentorship and proactive leadership.
Qualifications:
- 7–10 years of progressive leadership experience in operations, preferably within healthcare or social services.
- Bachelor’s degree in Business Administration, Healthcare Management, or a related field (master’s degree preferred).
- Proven ability to manage complex budgets, streamline workflows, and drive performance.
- Strong interpersonal and communication skills to engage diverse teams and stakeholders.
- Familiarity with Medi-Cal managed care, regulatory compliance, and marketing strategy development is highly desirable.
- Demonstrated ability to engage directly in operational tasks and lead by example.
- Willingness to travel regularly between program sites to ensure operational consistency and provide direct support.
Performance Goals:
Within the first 6–12 months, the Director of Operations is expected to:
- Increase each program's census by 50-100%.
- Develop and implement streamlined administrative and marketing workflows.
- Produce comprehensive financial and operational reports with actionable insights.
- Successfully establish the operational and financial framework for a new satellite office in San Luis Obispo County while assessing the feasibility of additional expansions.
