Position to be Filled : Administrative Assistant
Required Qualifications / Essential Duties :
- High School Diploma or GED
- 1 year experience in clerical or related administrative field
- 1 year experience in accounting or related finance field
- Valid CA Driver's License
- Must be insurable by company’s insurance carrier and maintain throughout employment
- Record and process incoming mail for all SRR Departments.
- Record, process and drive to post office / UPS to drop off outgoing mail.
- Distribute flyers for all departments and SRR Community.
- Mail out flyers to Tribal Members living off Reservation.
- Coordinate delivery or pick up of supplies to departments.
- Keep administration supply room organized, neat, and stocked.
- Prepare packages and documents needed to return or ship out equipment / supplies.
- Data entry, photocopying and faxing.
- Assist Administration and Finance staff with special projects, activities and events as needed.
- Monitor postage on mail machine, submit check request when funds run low, keep record of transaction.
- Maintain monthly report of postage spending for all departments.
- Maintain and keep mailing list updated for Tribal Members living on and off Reservation.
- Investigate and resolve complaints / issues with delivery or receiving mail to Tribal Government.
- Shall assume receptionist and clerical duties
- Assist the Executive Administrative Assistant and Director of Operations and Administration with related office duties
- Answer telephones and give information to callers, take messages or transfer calls to appropriate personnel
- Create newsletters, letters, memos, review and log outgoing correspondence
- Take minutes and transcribe information at staff meetings and assist DOA as needed
- Must be able to generate monthly reports for Finance Department
- Create / maintain a working paperwork and electronic filing system and keep filing current
- Operate office equipment such as fax machines, copier, multi-line phone system, meter machine and folder
- Document all financial transactions (i.e. account payable, receivable, and line-item budgeting)
- Pay invoices monthly
- Perform other duties as needed or required
- Drive company vehicles or personal vehicles to conduct business on behalf of the administrative building

Starting Rate of Pay : $22.00 per hour (Non-Exempt)
