What are the responsibilities and job description for the Operations Assistant position at Santa Rosa Treatment Program?
Santa Rosa Treatment Program is looking for an Operations Assistant to join our team. Reporting to the Operations Manager, this position is responsible for maintaining the Corporation’s accreditation records and renewals, maintaining HR administrative files, and supporting the general operations of the company.
Duties and responsibilities include, but are not limited to:
- Maintains employee files, ensuring compliance with federal, state, and city requirements, and coordinates new employee orientations, paperwork processing, background checks and reporting.
- Maintains calendars and tracking, prepares, submits and keeps records of all state, federal and county applications and renewals
- Coordinates and attends quarterly meetings. Takes, compiles, and distributes meeting notes
- Maintains, updates, and distributes Policy and Procedure manuals
- Meets with Operations Manager regularly to maintain systems, CARF accreditation and compliance for EDD, licenses, certificates and permits
- Works under direction of management team regarding purchasing supplies, and maintaining facilities and equipment
- Works in conjunction with the Program Director and Operations Manager to develop and implement program forms
- Works with Program Director and Operations Manager to respond to compliance agencies
- May perform other duties as assigned.
- QUALIFICATIONS
- A minimum of 2 years recent experience working in an office setting, writing, formatting and editing policies and procedures. Previous experience in Compliance or Human Resources is a plus.
- Requires a high degree of discretion as this position has access to confidential information
- Excellent computer skills, including Excel, Word, PDF conversion, and ability to quickly learn and master specialized computer programs and databases
- Excellent verbal and written communication skills, especially to a diverse range of audiences and settings
- The ability to make decisions and multi-task while working in a fast-paced environment meeting deadlines
- Strong organizational skills, including the development of organization and tracking systems
- Ability to deal with high pressure
Possession of a valid California driver's license
This is a non-exempt, onsite position working Monday through Friday. The number of hours available will depend on the candidate’s preferred schedule, ranging from 25 to 40 hours per week. The starting salary is $26–$31 per hour, based on experience. Benefits include PTO, paid holidays, and health insurance options, including vision and dental coverage for employees regularly working 32 or more hours per week.
