Office Assistant (Part Time)
Job Purpose Summary: To assist the company by supporting administrative tasks, clerical work, organizational planning, and performing a variety of in-store and office related errands.
Reports to: CEO/President directly
Type: Part-time, Monday-Friday, during regular business hours
Pay Range: $22-$25 hourly depending on experience
Key Responsibilities:
● Resolves and coordinates company wide maintenance requests, installs, or issues (phones/wifi, cleaners, AC, Electricians, decor installs, etc.).
- Manages the hiring, scheduling and coordination of contractors and maintenance professionals on a per project basis.
- Provides support in managing maintenance, upkeep, and operational tasks for properties owned by the CEO ensuring all facilities operate efficiently and safely.
- Coordinates and books travel arrangements for team members, ensuring efficient and cost-effective options.
- Orders lunch for team meetings and for Sarah, managing dietary preferences and schedules.
- Handles the return of Amazon and other vendor orders promptly and accurately.
- Assists with general office security tasks and supports safety measures where needed.
- Assists the CEO with collecting and submitting receipts in accordance with the Expense Management processes.
- Facilitates delivery and transporting of items between locations as required.
- Maintains the aesthetic and overall appearance of the Headquarters office. (ie: coordinates housekeeping, assists with watering plants, etc.).
- Organizes and manages storage spaces, coordinating the donation or sale of unneeded fixtures.
- Assists with organizing and keeping all spaces clean and aesthetically pleasing for guests and customers. Communicates needs to the necessary parties.
- Manages non-branded supply inventories and collaborates with stores and departments to place orders for store and office needs including office supplies and furniture/fixtures.
- Provides IT support by troubleshooting technical issues and assisting with software and hardware inquiries. Manage the ordering and inventory of IT related supplies.
- Procure and deliver parts and supplies as needed to support staff and tenants.
- Assists owners to make sure all buildings stay within compliance with the city.
- Assists with internal and external event preparation and execution.
- Proactive and self-accountable for completing projects and tasks while maintaining their timelines.
- Accepts, communicates and manages projects throughout the company.
- Uses independent judgment to complete their job.
- Checks in with the President/CEO daily to assess lunch needs and specific preferences.
- Accepts other responsibilities as assigned.
Job Requirements
- 2-3 years year in an administrative assistant role, retail keyholder role, or similar position is preferred
- Strong organizational, interpersonal, and communication skills (written and verbal)
- Self-starter, proactively seeks out projects
- Demonstrated ability to build and maintain positive relationships with others
- Experienced with Google Documents, Spreadsheets, and Calendars. Knowledge of project management tools is a plus.
- Flexible, ability to quickly adapt in a fast-paced environment
- Detail oriented with ability to handle multiple tasks simultaneously
- Able to lift objects weighing approximately 25-50 pounds (occasionally)
- Must have a personal vehicle for business purposes (mileage will be reimbursed)

- Able to create a positive work environment through teamwork and collaboration
- Works a regular schedule with requests off conducive with traffic levels, season, and fair to hourly expectations
