The Saratoga Center for the Family is a busy Mental Health Therapy Clinic seeking a full-time Receptionist/Administrative Assistant to greet clients, schedule appointments, answer phones, and complete clerical duties such as filing, photocopying and other clerical tasks to support our growing agency. Must exhibit a professional and personable attitude and represent the agency in a positive manner. We’re looking for an energetic professional who is well organized, willing to learn, and doesn’t mind wearing multiple hats.
Responsibilities
- Maintain calendar and set-up scheduled meetings for Main Office, School Based Mental Health Programs, and Community Mental Health Program
- Maintain office security by following safety procedures and controlling access via the reception desk
- Abide by HIPAA regulations and maintain confidentiality at all times
- Answer and direct incoming calls
- Follow up on program referrals
- Communicate with clients, vendors, employees and other individuals to answer questions and disseminate or explain information
- Open, sort and route incoming mail and prepare outgoing mail
- Provide basic and accurate information in-person and via phone/email
- Perform other clerical duties such as filing, photocopying, and faxing
Qualifications
- Proven work experience as a Receptionist, Front Office Representative or similar Administrative Support role
- Professional attitude and appearance
- Microsoft Office Suite Experience: Outlook, Excel, Word, & PowerPoint (Advanced Experience with Spreadsheets & Reports)
- Deadline & Detail-Oriented
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Outstanding Written & Verbal Communication Skills
- Excellent time management skills and ability to multi-task and prioritize work
- Knowledge of clerical practices and procedures
- Non-profit agency experience
- Medical/Mental Health office experience a plus
Requirements: High school Diploma, must be a team player, willing to work 40 hours over 4 days, beginning at 8:15a through closing, M-Th.
