What are the responsibilities and job description for the Practice Manager position at Saratoga Hospital System?
Under the direction of the Vice President, the Practice Manager is responsible for planning, directing, implementing, coordinating, and evaluating all daily activities related to the Physician's Practices located at the Wilton Medical Arts campus. The Practice Manager is responsible for maintaining high quality services, financial stability, customer relations, and enhancement and expansion of services to ensure that patient needs within the community are being met. The practice Manager is responsible for leading cultural transformation to create a high performing practice; establishing and maintaining positive working relationships with all stakeholders; fostering a collegial relationship with clinical supervision, and providing support as needed to ensure seamless clinical systems, processes and patient outcomes.
Requirements:
- Associates degree in business management or related field required; Bachelors degree strongly preferred.
- 5-7 years of progressive leadership experience in multi-physician primary care office and/or physician network required.
- Must possess demonstrated success in leadership, management and organizational development.
- Prior experience in operational process improvement; experience with patient scheduling, registration, and billing systems and other applicable processes as required; knowledge of Meditech is a plus.
- Experience and/or exposure to clinical areas of operation with demonstrated track record of collaboration and partnership development.
- Ability to succeed in a highly demanding, fast-paced, outcome oriented environment.
- Prior experience with financial planning, management systems, healthcare, and reimbursement required.
- Prior experience with implementation and/or operations of Electronic Medical Records (EMR) for a clinical office/outpatient setting is highly desirable.
Responsibilities:
- Responsible for daily oversight of the physician practice to include direct supervision of reception/registration, scheduling, medical records, and clinical support functions.
- Anticipates personnel needs and promotes good staffing practices to maximize the utilization of existing personnel to ensure efficient delivery of services to both the providers and patients/visitors.
- Responsible for maintaining positive employee relations that promote cooperation among employees and ensure open lines of communication at all levels in the organization.
- Responsible for the effective on-boarding of new providers into the practice.
- Establishes, coordinates and maintains effective relationships with other leaders, medical staff and community. Demonstrates ability to effectively communicate, negotiate, and collaborate with medical providers to effectively support a continuum of patient care.
- Instills culture of customer service by emphasizing responsiveness, resourcefulness, follow-through, accuracy, timeliness, and accountability.
- Ensure smooth practice operations by:
(a) Monitors patient flow through the practices to ensure appropriate utilization of physician time and staff coverage.
(b) Monitors or reviews patient registration and data entry into the system for timeliness, accuracy, and thoroughness.
(c) Develops special work load reporting (informal) to adjust staffing levels as necessary.
(d) Assists in the processing and handling of patient complaints through the execution of the organization's service recovery program.
(e) Reviews information that will be given to billing company for variations and patterns. Conducts spot audits to ensure compliance with established policies and procedures.
(f) Ensures charge capture of providers.
(g) Analyzes average patient waiting time, turnaround times and other relevant outcome measures.
(h) Interacts on a routine basis with each primary care physician to ensure their practice business needs are being met; resolves any administrative issues; keeps lines of communication open between practice staff and administration; and ensures high employee morale and a professional, effective, and efficient working atmosphere.
- Supports the financial stability of the organization; fully participates in the financial planning process by developing budgets for staffing, volume, revenues, expenses, and capital projections annually. Assists in the monitoring of annual practice(s) budgets by:
(a) Analyzing financial impact of changes in clinical activities and forecasts actual revenue/expenditures versus approved budget.
(b) Monitors physician referral activity to ensure provider compliance as outlined contractually.
(c) Recommends corrective action as required.
- Develops cost/benefit analysis of new services and equipment to maximize patient revenues.
- Works collaboratively with other members of the leadership team to improve systems and processes related to the continuum of care; implements best practices for clinical support areas; and collaborates to accomplish the vision and goals of the organization.
- Participates fully in the formation of operational plans, both short and long range; serves on committees and participates in special projects as directed.
- Recommends implementation/purchase of new services/equipment. Prepares annual operating and capital budget recommendations.
- Monitors non-salary expenditures for the practice. Plans a corrective strategy when order levels are excessive in volume or costs.
- Evaluates employee performance and provides appropriate guidance and feedback.
- Oversees the daily/monthly expenditures, staffing and overtime hours for non-clinical staff.
- Counsels, disciplines and or recommends termination as required, with the assistance of HR.
- Participates in strategies to enhance medical provider satisfaction.
- Participates on various committees and volunteers and is visible in the community and with professional organizations; encourages involvement by staff and peers.
- Develops and implements effective and efficient work standards, procedures, and personnel requirements consistent with organizational policy; JCAHO; local, state, and federal requirements and regulatory agencies .
Salary Range: $21.78 - $35.90
