Job Summary:
We are seeking a Practice Assistant to support our Long-Term Care Practice Group in a regional legal office. This role involves direct support for a team of associates and staff attorneys, ensuring efficient operations within a fast-paced legal environment. Key responsibilities include managing calendars, coordinating travel, handling expense reports, and maintaining client records, all with accuracy and attention to detail. This role is essential to maintaining smooth operations within the practice group, balancing administrative duties with paralegal tasks.
Key Responsibilities:
- Accurately manage calendars, including court docketing, scheduling depositions, and setting up conference calls and video conferences.
- Coordinate travel arrangements for attorneys and prepare related documentation.
- Create and submit expense reports using the organization’s accounting system.
- Maintain contacts and update information within the CRM system.
- Assist with profiling emails and organizing files using the document management system.
- Prepare initial documents using standardized templates.
- Open new client and case files, using designated firm software as needed.
- Collaborate with other practice assistants to ensure coverage during absences.
- Other duties as assigned.
Minimum Education & Experience Requirements:
- Minimum of three years in a professional services setting, preferably in a law firm.
- High school diploma required; college degree is a plus.
- Litigation experience required.
- Familiarity with document management systems and e-filing procedures in the regional jurisdiction preferred.
Special Requirements:
- High technical proficiency and comfort with new software.
- Knowledge of medical terminology preferred.
Knowledge, Skills, and Abilities:
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel).
- Ability to manage multiple priorities in a fast-paced environment.
- Strong written and verbal communication skills.
- Ability to understand and apply policies, procedures, and specialized terminology.
