Fleet Manager

Job Description

The Fleet Manager is responsible for the strategic and operational management of the company's vehicle fleet, ensuring optimal efficiency, safety, and cost-effectiveness. This role involves overseeing all aspects of fleet maintenance, repairs, compliance, and performance, while driving continuous improvement and contributing to the company's overall success.

Essential Functions

• Fleet Maintenance and Repair:
  • Direct and coordinate all maintenance and repair activities for leased, rented, and company-owned vehicles across multiple locations (PA, MD, OH).
  • Prioritize repairs to minimize downtime and maximize operational efficiency.
  • Manage parts inventory, including ordering and tracking tires.
  • Maintain accurate records of vehicle repairs and maintenance.
  • Oversee refrigeration unit temperature monitoring.
• Fleet Optimization and Strategy:
  • Evaluate fleet performance and recommend vehicle replacements as needed.
  • Research and implement cost-saving technologies and strategies.
  • Develop and manage the fleet's computer maintenance program.
  • Complete and maintain a cost accounting system for the shop.
  • Develop and monitor Department KPIs and strategic goals.
• Team Leadership and Communication:
  • Lead, coach, and develop shop staff, fostering a positive and productive work environment.
  • Conduct employee performance reviews.
  • Maintain effective communication with internal and external stakeholders, drivers, other departments, and vendors.
  • Prepare and deliver presentations at driver meetings.
  • Represent the company at industry events and on relevant boards (e.g., OAC).
  • Handle after-hours service calls effectively.
• Compliance & Safety
  • Ensure compliance with all applicable regulations, including FMCSA, DOT, DEP, and state requirements (e.g., hazmat, inspections, registrations, fuel permits).
  • Maintain accurate records of inspections, permits, and training.
  • Promote a safe work environment and enforce safety protocols.
  • Complete state inspections in a timely manner.
• Operational Management:
  • Manage fleet appearance, including cleaning and painting.
  • Oversee fuel purchasing and management.
  • Maintain shop facilities in Lititz and Ephrata.
  • Maintain Daily Shop Report, Equipment Replacement Schedule and Equipment Master List.
  • Create and maintain vehicle repair files.
  • Ensure all proper steps are followed when adding new equipment to the fleet.the inventory of feed, supplies, and equipment to ensure optimal resource utilization and cost-effectiveness.

Required Qualifications:

• Class 7 State Inspection License.
• CDL Class A license with a valid DOT medical card.
• 2-3 years of experience in fleet management.
• Strong knowledge of vehicle maintenance and repair principles.
• Proficiency in fleet management software and Microsoft Office Suite (Word, Excel).
• Excellent communication, organizational, and problem-solving skills.
• Ability to work independently and as part of a team.
• Ability to handle stressful situations in a professional manner.
• Self-motivated and detail oriented.
• Ability to be on-call 24/7 for emergencies.
• Basic math skills.
• Proactive work ethic.

Preferred Qualifications:

• Experience with EMDECS – tracking system for maintenance repairs.
