About the Role:
We are seeking a highly organized and detail-oriented Sales Coordinator to support our commercial team in Anaheim for a company that works within the cosmetic, skincare industry. This is a critical role involving coordination of product logistics, documentation, and customer support to ensure seamless delivery of materials and samples across the supply chain. The ideal candidate will bring strong communication skills, a knack for documentation, and the ability to juggle multiple priorities in a fast-paced environment.
Key Responsibilities:
Product & Sample Logistics
Coordinate product and promotional sample requests for internal and external stakeholders
Maintain sample inventory and ensure timely shipping using FedEx/UPS
Track and document sample shipments, materials, and packaging inventory
Collaborate closely with suppliers to ensure product availability and compliance
Handle packaging, labeling (including safety/GHS warnings), and safe storage of product samples
Maintain a clean, compliant, and well-organized product storage area
Documentation & Quality Assurance
Receive, verify, and archive Certificates of Analysis (COAs), Bills of Lading, and related compliance docs
Ensure all documents are properly named, filed, and meet regulatory specifications
Conduct quality checks on labels and documentation prior to shipment
Assist with creation of product labels (drums, totes, etc.)
Enter and maintain data in Excel logs and ERP systems accurately
Cross-Functional Support
Act as a liaison between the sales, operations, and supplier teams
Provide timely updates to internal stakeholders on inventory, documentation, and tracking
Assist with office communication, front desk support, and general administrative tasks as needed
Requirements:
AA or Bachelor’s degree preferred (Business, Supply Chain, or related fields)
2–5 years’ experience in logistics, inventory coordination, purchasing, or supply chain
Strong working knowledge of Excel and ERP systems (Chempax a plus)
Highly detail-oriented with excellent follow-up skills
Experience in the chemical, ingredient, or manufacturing sector is highly desirable
Familiarity with OSHA, HAZMAT, and SDS safety standards is a plus
Strong communication and organizational abilities
