PRIMARY FUNCTION: This position is responsible for supporting the Purchasing staff by performing a variety of administrative and clerical functions.
REPORTS TO: Director, Purchasing
SALARY SCHEDULE: G-7
WORK DAYS: 250
REQUIREMENTS:
- Education Level: High School Diploma
Preferred: College coursework in business functions or office skills
- Experience, Skill, and Certification:
- Strong word processing skills
- Demonstrable knowledge of basic office equipment and procedures
- Demonstrable knowledge of correct English usage, spelling, grammar, and punctuation for verbal and written communications
- Ability to carry out oral and written directions
- Demonstrable customer service skills, tact and courtesy
- Proven ability to perform clerical work of average difficulty with accuracy and speed
- Demonstrable ability to keep accurate records and files
ESSENTIAL DUTIES:
- Assists in the coordination of buying activities, working with buyers, various sites and departments, and suppliers.
- Maintains organized purchase order and bid files. Sorts and files purchase orders.
- Acts as department receptionist. Types letters and reports, answers routine correspondence usually by letter.
- Resolves problems related to purchases and purchasing procedures.
- Maintains bidder lists and vendor files on automated data base.
- Coordinates incoming and outgoing mail.
- Responsible for department payroll record keeping.
- Performs other duties as necessary for the effectiveness of the department.
TERMS OF EMPLOYMENT
Incumbents will be considered “at will.” Appropriate pay will be determined based on the Grade as determined by Human Resources and allowable experience. The work calendar will be 250 days. (G-7)
