What are the responsibilities and job description for the Event coordinator position at Savannah College of Art and Design?
As the coordinator you will be responsible for event planning, managing coordination, and implementation of multiple events simultaneously throughout the calendar year.
This role meets regularly with the director of involvement to receive and give updates on all previous and upcoming events and must style with creative and unique ideas to be submitted to the director for approval.
In this position you will maintain photo archives, inventory, and organization of event supplies; lead and attend meetings with all necessary participants;
communicate expectations of SCAD standards to clients; and develop project plans, production timelines, and budget information.
The coordination of marketing and public relations with appropriate departments will also fall to you.
In this role you will collect RFPs, quotes, and estimate information from vendors; coordinate all print, visual media, social media, and web related requests;
work with SCAD physical resources to coordinate event support; and work with appropriate city departments to request Savannah police as needed.
Responsibilities of the coordinator include submitting application paperwork for necessary permits or temporary licensing, developing and sourcing ideas for gifts and giveaways, coordinating and managing volunteers, and sourcing and installing décor for events.
You will also be expected to research and reserve entertainment, interacting with guests as the host of the event and acting as a quality representative of SCAD.
Additionally, as the coordinator, you will complete all financial paperwork for vendors and cost summary reports for each event, compile costs for an overview budget, and monitor the budget for events.
Minimum Qualifications :
- Bachelor’s degree with related experience in events and conference coordination and project management with solution-based thinking
- Strong knowledge of Microsoft Word
- Excellent communication skills with the ability to work in fast-paced environment and multitask
- Vendor management experience

Work Hours : The university work week is Sunday through Saturday. Most offices are open Monday through Friday from 8 : 30 a.
