Job Summary:
We are seeking a highly organized and proactive Assistant to support the owner of a thriving event venue. This role requires a detail-oriented professional with strong communication, administrative, and customer service skills to assist in the daily operations of the venue. The ideal candidate will be responsible for scheduling, client coordination, event logistics, vendor communication, and general administrative tasks.
Key Responsibilities:Administrative Support
- Manage the owner’s calendar, appointments, and emails.
- Handle client inquiries, bookings, and follow-ups.
- Maintain organized records of contracts, invoices, and venue schedules.
- Assist with marketing efforts, including social media updates and email communication.
- Prepare reports and documentation as requested.
Event Coordination
- Assist in planning and coordinating events, ensuring seamless execution.
- Communicate with clients and vendors to confirm event details.
- Oversee venue setup and breakdown for events.
- Ensure compliance with venue policies and procedures.
Client & Vendor Relations
- Serve as a point of contact for clients, providing excellent customer service.
- Coordinate with caterers, decorators, photographers, and other vendors.
- Assist with venue tours and client meetings.
- Address and resolve any on-site issues during events.
Operational Support
- Ensure the venue is well-maintained, clean, and stocked with necessary supplies.
- Assist with vendor payments and budgeting tasks as needed.
- Support staff and contractors during events.
- Handle any last-minute changes or emergencies with professionalism.
Qualifications & Skills:
- Experience in event planning, hospitality, or administrative roles preferred.
- Strong organizational and multitasking skills.
- Excellent communication and customer service abilities.
- Proficiency in Microsoft Office, Google Suite, and social media platforms.
- Ability to work evenings, weekends, and flexible hours based on event schedules.
