Join our dynamic Talent (Human Resources) Team as a Talent Operations Coordinator, where youll play a crucial role in ensuring seamless, efficient, and secure HR operations. In this role, youll be at the heart of maintaining accurate employee records, reporting structures, and key HR metrics, while also driving the optimal performance of our HRIS and other HR systems. Beyond system operations, youll be involved in benefits and leave administration, ensuring a smooth experience for our teammates. Under the guidance of the Manager of Talent, the Talent Operations Coordinator can expect to focus on the following areas:

HR Systems

  • Oversee and maintain optimal function of the Human Resource Information System (HRIS), which includes company setup for new locations, custom fields, position and seat setup, annual benefits open enrollment, performance evaluations and goal management, salary grades, and geographic information. Collaborates with the HRIS company representative to troubleshoot and resolve issues.

  • Assist with creating and maintaining standard operating process (SOP) documents, job aids, and resources for the Talent Team, leaders, and end-users.

  • Process employee status changes related to promotions, demotions, transfers, changes in leadership, leaves of absence, compensation changes, scheduled hours, and terminations to ensure accuracy in reporting and related system records.

  • Identify areas needing improvement or modifications; makes recommendations and implements approved solutions.

  • Ensure completion of tasks related to status changes, onboarding processes, and tracking progress associated tasks, approvals, and new hires.

  • Assists with tracking and process completion for performance evaluation process, personal OKRs, and merit increases.

  • Provide support, troubleshooting, and guidance to system users ensuring accessibility and understanding across all levels.

Metrics

  • Track and maintain departmental metrics, ensuring timely and accurate reporting.

  • Serve as point of contact for metrics related inquiries and new data requests.

  • Support data driven decision making by completing and sharing accurate report requests with team members and required stakeholders. .

  • Assist with completion of compensation or benefits related surveys.

  • Generate engagement survey data reports as needed.

Benefits Administration

  • Review and approve new hire benefit elections.

  • Oversee life events and associated benefit changes.

  • Communicate with new employees about their benefit eligibility and enrollment processes.

  • Assist with open enrollment tasks as needed.

Leave Administration

  • Prepare employee and leader communications using standard templates adjusting as necessary, ensuring appropriate approvals are in place. Review questionable situations with appropriate Talent Advisor leaders.

  • Maintains accurate records of leave activity, time coding, and related communication to employees, leaders, and Talent Advisors.

  • Partner with leaders, payroll, and accounting to ensure all stakeholders are kept current on employee leave statuses.

  • Track time accurately and ensure records remain up to date.

  • Communicate with leave administrator to address discrepancies or questions.

  • This position is located in Rockford, IL and offers a hybrid work model.
  • Typical working hours are Monday - Friday; 8:00am - 5:00pm CST.

The Talent Operations Coordinator role typically requires the following qualifications:

Education:

  • High school diploma or equivalent, Associates degree preferred in business, HR, or related field.

Experience:

  • Minimum 3 years HR Administrative support, benefits administration support, or other equivalent experience.
  • General knowledge of benefit regulations, laws and practices.
  • General knowledge of various employment laws and practices
  • Designations/Certifications: PHR or SHRM-CP preferred

The Perks:

The expected base salary range for this role nationally is $55,000 - 65,000. However, final base pay will be carefully determined based on several factors, including responsibilities, job-related skills, relevant experience, geographic location, and market conditions.
