The Investment Operations Billing Specialist can expect to focus in the following areas:
- Collecting client fees from accounts at our custodians and solving for collection issues that surface which are different each quarter
- Coordinating with advisors and internal staff on unique billing situations to determine the most appropriate solution based on the clients fee contract
- Reviewing all client billing history for billing discrepancies and using judgment to determine if current fee contracts are appropriate
- Determining the appropriate solution for crediting clients in the case of billing errors or other refunds due to errors & omissions
- Tailoring our billing solutions to meet client and advisor objectives, which involves creating custom fee schedules and researching our softwares capabilities to determine the feasibility of these requests
- Setting up new client accounts and groupings accurately and in a timely manner
- Working with our portfolio management system support team to reconcile accounts and data issues
- Assist with quarterly performance reporting and client statements
- Process internal and external client requests in a timely manner
- Provide feedback on systems and processes to facilitate continuous improvement
- Assist with department projects including migrations and integrations
- Maintain team approach by assisting and filling in for others
- Perform other duties as requested
A couple things to note about our Investment Operations Billing Specialist position:
- This position will can be based out of our headquarters in Rockford, IL or our Middleton, WI location.
- This is a full time position. Our typical working hours are Monday-Friday, 8:00AM - 5:00PM.
- After your training period, work model flexibility will be reviewed with your manager and you may be eligible to work a hybrid schedule of 4 days remote, and one day in-office for our connection and collaboration days. Please note, there may be times during the quarter that require additional in office based on business needs.
The Investment Operations Billing Specialist position typically requires the following qualifications:
- Bachelors Degree in business, accounting, economics, mathematics or related field from an accredited college or university
- 2 - 4 years proven employment success, preferably with financial, banking or RIA experience
- Proficiency with Microsoft Word, Excel, and Outlook required; investment and reporting software preferred
- Strong analytical and financial skills
- Detail-oriented with a high degree of accuracy
- Strong problem solving and organizational skills
- Excellent communication skills
- Client first attitude
- A team player, collaborative, able to work with and through others

The expected base salary range for this role nationally is $49,200 - $65,900, relevant experience, geographic location, and market conditions.
