Key Competencies


Team Leadership and Management

o Supervise and support the scheduling team, providing training, coaching, and performance evaluations.

o Develop staff schedules to ensure adequate coverage.

o Foster a positive work environment and address staff concerns.


Scheduling Operations

o Ensure timely and accurate scheduling of surgeries and pre-operative appointments.

o Coordinate with surgeons, ASC PACU staff, and other departments to optimize scheduling efficiency.

o Monitor and manage scheduling conflicts, cancellations, and rescheduling requests.


Compliance and Documentation

o Ensure compliance with healthcare regulations and organizational policies.

o Maintain accurate and confidential patient records.

o Regularly audit scheduling activities for quality and compliance.


Process Improvement

o Identify opportunities to improve scheduling workflows and reduce inefficiencies.

o Collaborate with other departments to implement process changes.

o Analyze scheduling data and prepare reports for management.


Patient/Provider Liaison

o Serve as the primary point of contact for patient and provider scheduling issues.

o Resolve escalated complaints or concerns.

o Ensure communication is clear and timely for all scheduling activities.


Core Competencies and Skills


1. Healthcare Knowledge: Understanding of ambulatory surgical procedures, pre-operative requirements, and medical terminology.

2. Scheduling Systems: Proficiency in electronic health record (EHR) systems and scheduling software (e.g., Epic, Cerner).

3. Regulatory Compliance: Knowledge of HIPAA regulations and other healthcare standards.

4. Leadership and Management – ability to motivate and develop a diverse team, resolve conflicts and develop and train staff.

5. Analytical and Problem-Solving Skills- Data analysis to identify bottlenecks & trends, critical thinking and process improvement (optimizing workflows).

6. Communication and Interpersonal Skills – Clear communication, empathy and patience. Collaborating and partnering with other departments to meet a like goal.

7. Organizational Skills – Excellent Time Management, Attention to Detail and ability to multi-task in a fast-paced environment.


Qualifications

· Education: Bachelor’s degree in healthcare administration, business administration, or a related field (preferred).

· Experience: Minimum of 3-5 years in surgical scheduling or healthcare operations, with at least 1-2 years in a supervisory role.

· Certifications: Certified Medical Scheduler (CMS) or similar credentials (preferred).
