In this role, you will be responsible for the coordination and management of client-related activities for the brokers and their teams. This includes developing marketing campaigns, sales materials, and working with internal and external stakeholders as required. The ideal candidate needs to demonstrate experience in managing day-to-day personal and business activities for a very busy executive.
KEY DUTIES AND RESPONSIBILTIES
- Accounting functions which may include expense reports, billings and reporting,
- Demonstrate in-depth skills in technical and functional tools required (i.e. MS Office, Salesforce, graphics, Adobe, AIR / Costar, etc.)
- Demonstrate solid understanding of real estate business and how to apply advanced skills to support brokerage transaction process
- Demonstrate initiative and ability to complete complex projects for broker teams.
- Able to anticipate needs of broker teams and proactively respond
- Provide support to project management team as needed including vendor invoice packages, tracking payments, scheduling, billings, etc.
- Clerical tasks such as data entry, copying, scanning, binding, filing, etc.
- Provide support to office such as inventory, ordering, restocking of supplies. Maintaining clean and uncluttered office space
- Assist with the creation and preparation of new proposals, surveys, presentations and marketing packages
- Perform quality assurance checks and edit final documents
- Performs EA duties, such as drafting communication, calendar management, travel arrangements and itineraries, printing / scanning / filing various documents
- Organize and maintain filing system and contacts in Salesforce for Brokerage Teams
- Send out Savills Market reports, e-mail marketing (including list maintenance) and social media posts for brokers
- Update stacking plans in Salesforce and perform database management
- Work in cooperation and provide support to other team members on large projects, during downtime, on leaves
- Other tasks and responsibilities as assigned by Office or Branch Manager
