JOB TITLE: Office Manager & Executive Assistant
About the Role
We are seeking a dynamic and highly organized Office Manager & Executive Assistant to oversee the day-to-day operations of our Corporate Office. This pivotal role combines administrative expertise with executive support to ensure a smooth, efficient, and professional work environment.
Key Responsibilities:
Office Management
· Oversee daily office operations, including opening procedures, security, and maintenance of common areas
· Manage office aesthetics, including music, decor, and overall atmosphere
· Coordinate mail and package distribution
· Serve as the first point of contact for visitors, managing reception duties and hospitality
· Maintain office organization, including conference rooms, kitchen, and supply inventory
· Oversee office technology and equipment maintenance
· Manage vendor relationships and associated payments
· Coordinate office events and team celebrations
Administrative Support
· Manage office supplies budget and ordering processes
· Oversee office communication systems, including email inboxes and phone lines
· Assist with meeting preparations, including catering and setup
· Manage shipping and courier services
· Maintain accurate records for expenses and invoices
· Assist HR with new employee onboarding processes
· Support the culinary team with tasting events
Executive Assistance
· Provide high-level support to the executive team, managing calendars, emails, and travel arrangements
· Coordinate executive dining reservations and maintain executive refreshment stocks
· Manage out-of-office events and conference logistics for executives
· Process and manage executive expense reports
Qualifications
· Proven experience as an Office Manager or Executive Assistant in a corporate environment
· Exceptional organizational and multitasking skills
· Strong communication and interpersonal abilities
· Proficiency in Microsoft Office Suite and office management software
· Discretion and confidentiality when handling sensitive information
· Ability to anticipate needs and proactively solve problems
· Experience with budget management and vendor relations
Physical Requirements
· Ability to move objects weighing up to 15 pounds
· Comfortable with standing, sitting, or walking for extended periods
· Capable of reaching, bending, and performing repetitive motions
· Visual acuity and hearing ability necessary for communication tasks
