POSITION OVERVIEW
We are seeking an experienced Executive Assistant to support the CEO of a growing fast paced beauty fragrance company. This role is ideal for a personable, highly organized individual ready to wear multiple hats in a vibrant remote work environment. The company is experiencing significant growth and investment, and the ideal candidate will be comfortable with a high level of personal interaction and flexibility.
KEY RESPONSIBILITIES
- Manage CEO's calendar and schedule.
- Arrange all travel and accommodations.
- Handle expenses and expense reporting.
- Maintain CEO's focus and keep track of important tasks.
- Coordinate key meetings with the Officers to include securing meeting rooms, overnight accommodations as needed, meals, travel, etc.
- Coordinate communication with Board, Key Clients and Customers.
- Assist with personal tasks as needed (e.g., coordinating gifts, personal errands)
- Provide high-level administrative support with a proactive approach.
- Quarterly Employee & Board Product Mailings –New Products
- Manage invites and zoom links for key meetings (ex: officer committee call, townhall, company social gatherings)
- SB Live! Weekly & Monthly Meetings - Schedule, invites, room bookings, etc.
- Organize Quarterly Board meetings, including venue, dinners, transport
- Key License Meetings hosted by CEO
- Managing key outside partners: dinners, lunches, meetings
- Supports HR, on some internal administrative functions
- Employee Listings -update process
- Maintain organization chart
QUALIFICATIONS
- 8-10 years of experience as an Executive Assistant or in a similar role.
- Strong organizational and multitasking abilities.
- High level of intuition and professionalism.
- Ability to manage various tasks and responsibilities effectively.
- Comfortable in a fast-paced and family-oriented work environment.
- Expert Microsoft Excel, PowerPoint and Word skills
