We provide quality investment, development, construction, leasing, and management services to our commercial and multifamily real estate portfolio.

The primary focus of the Legal Administrator is to provide administrative support to Schafer Richardson’s Legal Department as needed including securing, producing, updating, and performing housekeeping on organization-wide records, contracts, and documents as well as provide backup support to Schafer Richardson’s Office Administrator.

Duties and Responsibilities : The job description below outlines primary responsibilities and is not intended to be all encompassing. Other duties may be assigned, as necessary.

Legal Administration :

  • Provide administrative support to the Legal Department as needed including maintaining organization-wide records, contracts / documents, and intellectual property.
  • Perform legal research as assigned.
  • Compose, proofread, and revise drafts of legal documents and reports.
  • Recordkeeping / housekeeping of electronic and hardcopy filing of documents as needed.
  • Assist team with closings including maintaining checklists, title search, etc.

Office Administration :

  • Provide back-up support as needed to the Office Administrator which includes :
  • Organize, sort, and distribute mail.
  • Monitor postage balance on hand and process / refill postage machine as necessary.
  • Accept, log, and distribute deliveries.
  • Maintain tidy reception area, meeting, conference rooms, and shared areas.
  • Monitor on-line meeting room schedule; prepare respective rooms for meetings.
  • Make coffee and order food for meetings as directed.
  • Maintain clean and tidy work areas and break room. This involves bussing dishes to dishwasher, putting away clean dishes, clean countertop, and table surfaces daily.
  • Monitor supply levels for office and break room areas, process supply re-orders timely to maintain appropriate supplies on hand. Anticipate supply levels in advance of needs such as large meetings, large mailouts and distributions.
  • Answer phones and company inquiries routing calls to appropriate staff members; take messages, as necessary.
  • Greet guests and visitors professionally, attend to their coats, offer beverages, and notify their host.
  • Education / Experience :

  • Yardi experience preferred
  • Previous Office Administration and / or Executive Assistant experience is required
  • Experience managing documents and contracts is required
  • Position requires verification of employment eligibility to work in the U.S.
  • Continuing education in real estate paralegal or legal assistant preferred
  • Previous experience working in-house or with a real estate team preferred
  • Knowledge, Skills and Other Abilities :

  • Knowledge of and ability to use Microsoft Office applications
  • High level of professionalism and ability to represent Schafer Richardson and communicate that culture consistently through all relationships
  • Able to effectively communicate both inside and outside of the organization both verbal and written
  • Strong problem solving, decision making, and analytical skills
  • Ability to manage multiple tasks simultaneously
  • Possess strong attention to details
  • Ability to be flexible and adapt to changing circumstances
  • Excellent organizational skills with ability to prioritize and manage time appropriately to meet deadlines

  • Highly motivated and able to work independently
  • Able to develop a working knowledge of company procedures and departments
  • Must maintain confidentiality of all matters relating to the company
  • Physical Demands :

    The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to remain in a stationary position, moving about the office to access file cabinets, varying office locations, office machines, constantly operating a computer and other office productivity machinery (i.e., computer, copy, fax, and printer). Occasionally positions self to work atop, under or traverse company rooms and or equipment. The person in this position frequently communicates with staff, vendors and customers and must be able to exchange and communicate accurate information in these situations. The employee must occasionally lift and / or move up to 15 pounds.
