Our Hart office is currently seeking a skilled and motivated individual to join us part-time. This is a fantastic opportunity to gain valuable experience and contribute to our dynamic team environment.


Job Summary

The Agent Services Coordinator is a dynamic, customer-focused role responsible for supporting real estate agents and clients while managing various office operations. This individual serves as the primary point of contact for agents and customers, ensuring a professional and welcoming environment. The Agent Services Coordinator assists with administrative duties, training, marketing, and maintaining office systems, striving to provide excellent service and facilitate smooth operations. A strong communicator with excellent organizational skills, this role plays a vital part in ensuring agents have the tools and support they need to succeed in their business.


Duties and Responsibilities:

  • Acts as the "face of the company," greeting customers as they enter the office, call in, or visit the office, and presenting a professional image to current or potential agents and customers
  • Answers telephones, emails and any other form of communication for the company as assigned
  • Serves as a liaison between agents and customers
  • Works with real estate agents to make sure all administrative duties pertaining to contracts, listings, showings, and various other tasks are taken care of for the agents, for customers, and possibly for other staff in the office
  • Actively seeks out how to support agents in achieving success in their real estate business
  • Manages office management through variety of tasks with customer service and care
  • General office maintenance such as cleaning, ordering supplies, maintenance of office equipment
  • Maintain communication with Accounts Payable on all invoices received.
  • Maintains files for real estate office
  • Creates, updates and maintains all New Listings, Price Changes, Extensions, Under Contracts, Sold properties, etc. in all real estate programs and websites for agents; self-audit for accuracy
  • Pulls reports/logs for office and company; may assist Sales Manager with logs/reports
  • Maintains confidential information on agents and customers; adheres to ethical and confidentiality agreements put forth by the company
  • Maintains all office phone, email rosters
  • Maintains floor schedules as assigned
  • Adheres to strict schedules for marketing/advertising needs including social media for the company within guidelines provided by the Marketing Group
  • Assists with trainings and agent relations within the office and company
  • Assists the Sales Manager with a variety of office duties including recruiting; may assist other departments as necessary
  • Understanding of all corporate and company proprietary technology
  • Ability to train agents on technology including but not limited to one-on-one training, lunch-n-learns
  • Must be able to work all full-time hours (40 hours per week) as required; flexibility must include nights, holidays and weekends as necessary or needed; travel is a possibility throughout the state of Michigan

Requirements

This position requires organizational skills, outstanding interpersonal skills and superior customer service, the ability to be flexible and adapt to changes in the work environment and a willingness to take on new challenges. Preferred candidates will have a minimum 2 years related experience in an office environment.

Education and Experience:

High school diploma or equivalent required; college preferred.

Proficiency with Microsoft Office and Google Suite software.

Physical Requirements:

Prolonged periods of sitting at a desk and working on a computer.

Must be able to lift up to 15 pounds at times.

Must be able to perform general cleaning to light maintenance work.

Must be able to work all full-time hours (40 hours per week) as required; flexibility must include nights, holidays, and weekends as necessary or needed; travel is a possibility throughout the state of Michigan.
