Job Description: As an Office Administrator, you will be responsible for ensuring the day-to-day operations of the office run smoothly. You will be the first point of contact for customers, manage administrative tasks, and support our team of technicians. The ideal candidate will have excellent organizational skills, a positive attitude, and the ability to handle multiple tasks simultaneously.
Key Responsibilities:
- Greet and assist customers in person and over the phone
- Manage scheduling and appointments for vehicle repairs and estimates
- Process customer orders, invoices, and payments
- Maintain accurate and up-to-date records of customer information and repair history
- Coordinate with insurance companies to process claims and approvals
- Manage office correspondence, including emails, faxes, and phone calls
- Assist in maintaining a clean and organized office space
- Provide general administrative support to the repair team as needed
Qualifications:
- High school diploma or equivalent (Associate’s or higher preferred)
- Previous experience in an administrative role (experience in automotive or collision repair industry is a plus)
- Strong organizational skills with the ability to manage multiple tasks efficiently
- Excellent communication and customer service skills
- Proficiency with office software (Microsoft Office, Google Suite, etc.)
- Basic knowledge of accounting and invoicing
- Ability to work independently and as part of a team
- Strong attention to detail and problem-solving abilities
