The School District of Altoona is hiring a full time Middle School Administrative Assistant. This is a 204 day position that follows the school calendar with three weeks of summer work spread throughout the break. This position has a projected start date of the week of August 4, 2025.
The Administrative Assistant is the front face of our school, and we are looking for a person who is student centered, flexible, and has a positive can-do approach with excellent communication and organizational skills. Our office facilitates everything in grades 4-8 and candidates would get to work side-by-side with the grades 4-5 Administrative Assistant. Candidates should feel comfortable working with students, parents, teachers, administrators, and community members while providing polite and professional assistance.
Building Information:
Altoona Middle School is a grades 6-8 school with about 425 students using a true middle school philosophy and approach. We are a part of a grades 4-12 campus allowing us to share staff and resources making it very common to see students in any of these grades every day. While we still consider ourselves a smaller school, we provide “larger school opportunities” where both families and educators choose to make Altoona Middle School their school of choice. We have amazing students, supportive parents and community, and an absolutely fantastic staff who work as a family doing what it takes for all students. The following duties are normal for this classification. These are not to be construed as an exclusive or all‐inclusive list.
Provides exceptional customer service to students, parents, staff and all visitors
Collects data and creates reports as needed (requires use of current Microsoft Office products, Google products as well as appropriate student data software in a network environment)
Oversees the compilations of attendance, discipline and health reports and maintenance of student records
Assists with required local, state, federal and DPI reports
Manages master schedule for student courses
Manages accounting and budget procedures at local school level including the p-cards for their building
Assists with telephone calls from parents and public
Assists staff with clerical equipment in school office
Assists with substitute teachers and the current automated absence system
Monitors employee absences and verifies coverage
Maintains school equipment inventories and orders school supplies
Assists with events, ie. parent/teacher conferences, and family learning nights
Sort and disseminate daily mail as well as facilitate all parent mailings
Administers medications to students as well assist sick or injured students
Maintains all safety/emergency equipment in their school offices (Student emergency contact lists, backpacks, emergency drill documentation, etc.)
Assist with school web page updates
Performs other secretarial tasks as directed by the building principal
Applicants should also be prepared and responsive, willing to multitask in an amazing yet sometimes-chaotic environment that comes from working in a front office of a school. Candidates should be comfortable with computers and excel at both verbal and written communication. Most importantly, they should have a genuine desire to meet the needs of the students and all who they interact with.
