Description
The School District of La Crosse is accepting applications for a 1.0 FTE Buildings and Grounds Administrative Assistant at the Hogan Administrative Center. This position works 40 hours per week, 12 months per year. Projected start date: January 13, 2025
REPORTS TO: Supervisor of Buildings and Grounds
TERMS OF EMPLOYMENT:
Salary and schedule determined by negotiated agreement.
Twelve months, Pay GRAD1
ACCOUNTABILITY OBJECTIVES:
To ensure the smooth and efficient operation of the Buildings and Grounds Department, so that the office's maximum positive impact on the education of children can be realized.
POSITION RESPONSIBILITIES:
1. Personnel
a. Prepare annual vacation schedule for all custodians.
b. Coordinate and maintain all custodial records including interview, employment, attendance, vacation, and leave records.
c. Prepare a weekly work schedule for district-wide open custodial positions, adjusting throughout the week as time off requests occur.
d. Organize materials and maintain records for all custodial training and in-service programs.
e. Assist the Supervisor and Buildings and Grounds Manager with the interview process required for all open positions.
f. Responsible for all clerical functions of the Buildings and Grounds office, including preparing correspondence for the Supervisor of Buildings and Grounds.
g. Update department and transportation websites as directed.
h. Complete functions for transportation, including but not limited to student attendance, parent contracts, and contracted billing.

2. Facilities Operation, Maintenance and Transportation
a. Responsible for office management and organization of Buildings and Grounds office.
b. Responsible for service calls for HVAC, electrical, plumbing, and miscellaneous repairs to district facilities.
c. Prepare online requisitions through Skyward Financial for service, equipment, and miscellaneous supplies needed for departmental operation.
d. Work closely with business office personnel and service contractors on invoicing/payment follow-up.
e. Develop, coordinate, and maintain custodial vacation schedule.
f. Prepare bid requests for district paint supplies, electrical supplies, landscape needs, filters, and equipment.
g. Assist the Supervisor of Buildings and Grounds in the preparation of the district’s capital maintenance and improvements book.
h. Coordinate/communicate building use requests with building principals, activities directors, building engineers, and the public.
i. Maintain recordkeeping and payment information of building use through rSchoolsToday.
j. Assist with mail room coverage as required.
k. Maintain positive communication with staff, vendors, and the public.
l. Compose written letters and memos to staff and vendors.
m. Maintain a close working relationship with contracted transportation vendor, including proper use of Skyward Student, Versatrans, and Synovia.
n. Provide support to staff in discipline matters.
o. Refer students to counselors, social workers, and/or school psychologists when deemed appropriate.
3. Other duties as assigned.
Qualifications
POSITION QUALIFICATIONS:
A. High School diploma or equivalent required. Additional vocational/technical training beyond high school preferred.
B. Excellent written and oral communication skills.
C. Skill with information systems including Microsoft Office (primarily Word and Excel), Skyward Financial, rSchools Today, data management, and Google Drive.
D. Effective time management skills and attention to detail.
E. Excellent problem solving and organizational skills with the ability to build and maintain excellent interpersonal relationships with internal and external stakeholders.
F. Strong work ethic and ability to work independently.
G. Strong organizational and office management skills.
H. Proven ability to work quickly, accurately, and simultaneously on multiple projects.
I. Knowledge of building and site maintenance and the ability to organize and coordinate maintenance and operational activities.
J. Ability to multi-task and react to changing needs and priorities.
