REPORTS TO: Director of Elementary Education and Data Services Manager
Terms Of Employment
Terms: 12-Month Position; Pay Grade 2
Salary: Salary and schedule per negotiated agreement
Job Summary
Assist the 4K/Preschool Supervisor and/or 4K/Preschool Coordinator to ensure the smooth and effective functioning of the 4K/Preschool Program. Provide support to the Data Services Manager by maintaining precise student records and assisting with state and federal reporting requirements. Deliver excellent customer service to families navigating the Intra-District and Choice/Charter application procedures.

Responsibilities
- 4K/Preschool Program Support:
- Serve as a primary contact for the Registrar’s office, creating a positive image for the office and school district.
- Responsible for 4K/Preschool program enrollment.
- Support for 4K/Preschool teachers and staff.
- Plan and execute the annual 4K/Preschool registration process and parent orientations.
- Assist families with registration, transportation, scheduling, and site placement. ○ Collaborate with district partners in 4K/Preschool programming.
- Run report cards for the 4K/Preschool program.
- Maintain a filing system for student record documentation.
- Manage supply and equipment orders.
- Monitor program budget and account for payment to providers.
- Manage program site enrollments and transfers.
- Reconcile 4K/Preschool program pupil counts.
- Support effective communication within the 4K/Preschool program, buildings, families, and community.
- Assist in agenda development and scheduling for program meetings and attend as needed.
- Coordinate with local agencies for student enrollments.
- Manage program mailings and notifications.
- Data Services and Reporting:
- Collaborate with the Data Services Manager to maintain accurate and valid student data for district and state reporting and compliance.
- Assist with data verification, validation, and cleanup processes for state reporting (e.g., WISE Data).
- Responsible for the WISEID data system for 4K and PK students.
- Responsible for Intra-district transfer and Choice/Charter application procedures.
- Assist Special Education department with PK student enrollments and registration.
- Assist with K-12 student enrollment and registration as needed.
- Serve as backup to the District Registrar as needed, including enrollments and student data updates.
- General Responsibilities:
- Maintain confidentiality of student, parent, and staff information.
- Provide superior customer service skills and maintain efficient office operations.
- Perform tasks using Microsoft Office Suite, Google Workspace, general office equipment, and electronic communication.
- Maintain flexibility with scheduled hours.
- Perform other duties as assigned.

- High school diploma required; vocational/technical training preferred.
- Excellent communication and interpersonal skills with people of all ages.
- Exceptional skills in office and information management software (word processing, database, spreadsheets, and budget software).
- Excellent organizational skills and attention to detail.
- Effective time management skills; ability to meet deadlines.
- Ability to work independently with minimal supervision.
- Strong writing, proofreading, and problem-solving skills.
- Excellent analytical and numerical reasoning skills.
- Experience with Student Information Systems (SIS) preferred.
- Understanding of state/federal reporting requirements (e.g., WISE Data, Rostering) preferred.
- Familiarity with special education terminology preferred.
- Bilingual (reading, writing, speaking) preferred.
