POSITION SUMMARY (Primary purpose of job)
The Administrative Assistant will work with the building administration and staff performing functions associated with the organization. Such activities include coordination, and management of various educational programs, communications of the office assigned, specialized assistance related to the building / department assigned, and assisting with meeting local, State, and Federal requirements.
SPHERE AND SCOPE OF INFLUENCE (Supervisory scope, district impact and budgetary responsibility)
This position has direct budgetary responsibility in terms of business operations related to building funds as well as responsibilities for student specific data. The individual in this position has direct interaction with staff, students, and the public.
ESSENTIAL DUTIES (Major duties which the position exists to perform)
- Maintain frequent communication with supervisor, office, building, and / or department staff, relevant staff as directed, and District stakeholders (students, parents, community members).
- Collect, analyze, and assemble data meeting the reporting requirements for the position as directed (specific to programs, building level, department level, and / or District level).
- Effectively utilize various software systems and other required District technologies as required for the position (student information, employee information, and / or accounting information systems).
- Coordinate and maintain records needed for accountability associated with the duties of the program, building, department, and / or District (examples may include attendance, fees, receipts, invoices, requisitions, vouchers, expense accounts, staff data, student reporting, etc.)
- Utilize technology systems to accurately prepare materials and reports needed for training, reporting, stakeholder meetings, or other needs as directed by the supervisor.
- Complete cross training activities including training others within or across programs, buildings, or departments to ensure internal controls of district operations.
- Effectively and efficiently assume responsibilities associated with position including avoiding unnecessary delays and exhibiting a professional demeanor.
- Perform well under pressure with a willingness to cooperate and assist multiple stakeholders and use problem solving strategies to create positive change.
- Other duties and special projects as directed by the immediate supervisor.

Minimal supervisory duties are expected but may include supervisory assistance
QUALIFICATION REQUIREMENTS (Minimum educational requirements, licenses, skills and experience required as well as preferred options)

PHYSICAL RELATED REQUIREMENTS
The candidate should be able to move in and around the classroom, building, District buildings, and campus locations. The candidate may be required to lift up to 50lbs. and maintain consistent attendance in accordance with the attendance policy unless otherwise required by law. General functioning such as the ability to maintain confidentiality, communicate clearly both orally and in writing, utilize District resources including District issued technology and meeting multiple demands from people while interacting with students, staff, and the public are required to fulfill the essential job duties.
