Title: School Nutrition Financial Specialist/Administrative Assistant

GENERAL STATEMENT OF JOB
As the School Nutrition Financial Specialist/Administrative Assistant, this employee will assist the School Nutrition Director and the office of School Nutrition with day to day general administrative operating procedures as well as offering support to each school cafeteria. The School Nutrition Financial Specialist/Administrative Assistant will ensure that the School Nutrition Department is able to maintain day to day responsibilities and are following the Federal/USDA, State, and Local guidelines with financial reporting, financial compliance and operational responsibilities relating to School Nutrition financials. The employee will also be responsible for the processing of School Nutrition food/supply orders including all schools, confirming receipt of orders to process payments to vendors, maintain accurate financial records of inventory including USDA commodities, maintain and process monthly claim reimbursements accurately for all School Nutrition programs, review/process all financial records needed for monthly bank reconciliations with the Finance Dept., handles/processes all of the School Nutrition Department accounts payable and receivable functions, and is expected to complete all payroll functions for School Nutrition employees.

MINIMUM TRAINING, EXPERIENCE AND JOB RESPONSIBILITIES
- High School diploma or GED / School Nutrition experience is preferred / 4 – 5 years of general office experience required. Accounting experience preferred.
- Completion of Institute of Child Nutrition Certification within 90 days of start
- Attend and actively participate in all job-related training classes / workshops
- Comfortable using computers for daily
- Competent in Microsoft software products (especially spreadsheets) and other necessary
- Experience preferred with Education Management System / POS
- Understanding of Accounting procedures and practices in an office
- Coordinates individual school reports to assist in compilation for reimbursement and
- Participates in free and reduced-price meal applications and collections procedures
- Maintains perpetual inventory for USDA as well as food, supplies, and chemicals for
- Assists in the management of accurate personnel
- Communicates with the Director on a continual basis the findings, problems and successes observed in individual schools and document findings.
- Participates in all aspects of catering activities including after-hours
- The ability to go on overnight trips is essential for required
- Validates purchases of food and supplies through manager’s reports and works with vendors with monitoring contract prices.
- Knows, understands and assists in implementing the requirements of the School Nutrition
- Assists in emergency and accident reporting
- Assists in implementing professional development and certification activities for staff when
- Provides assistance to the cafeteria
- Serves as a substitute for cafeteria staff in any
- Confidentiality and professionalism are required at all times and strictly
- Ability to communicate and interact well with parents, school/program staff, vendors and the general
- Follow required standards of food safety and HACCP in storing and serving
- Communicates in a positive manner with students, staff, parents, outside vendors and co-workers
WORKING CONDITIONS
- Work is performed primarily in the School Nutrition Office and as needed work is in a school kitchen environment where temperatures from hot ovens, steamers, and dishwashers can cause discomfort
- Noise from students and kitchen equipment can be excessive
- Injuries from kitchen equipment are possible; safety rules, training and protective equipment are required
- Considerable responsibilities for the safety of others by assuring meals are prepared in a safe and sanitary manner
PHYSICAL REQUIREMENTS
- Work involves sustained standing and frequent lifting
- Medium work exerting up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects
- Must be able to physically perform the basic life operational functions of fingering, grasping, talking, hearing, and repetitive motions.
