JOB ROLE: The Administrative Assistant for the Operations Department plays a crucial role in ensuring the smooth and efficient functioning of daily operations. This position is responsible for providing administrative support to the operations team, managing office tasks, and facilitating communication within the department. The ideal candidate will be highly organized, detail-oriented, and able to handle multiple tasks in a fast-paced environment.
QUALIFICATIONS:
- High School Diploma or GED
- Associate Degree is preferred
- Experience working in related fields is preferred.
KNOWLEDGE AND SKILLS:
- Ability to establish and maintain effective working relationships both internal and external to the district.
- Ability to use computers including software, database used by the district, spreadsheet and word processing software, calculator, copy machine, and telephone.
KEY RESPONSIBILITIES:
- Assist in managing daily operations, ensuring all activities run smoothly.
- Maintain and update departmental files, records, documentation, and databases.
- Prepare and edit correspondence, reports, and other documents.
- Assist in preparing reports for compliance audits and departmental reviews.
- Ensure that all documentation complies with company policies and compliance with relevant regulations in all administrative and operational activities.
- Coordinate with the Operations Coordinator to implement and maintain operational procedures and ensure timely completion of tasks.
- Provide administrative support to the other Operations staff, as needed.
- Manage phone calls, emails, and correspondence, ensuring timely and professional communication.
- Assist in disseminating important information to campus staff
- Performs other duties as assigned.
WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS:
- Light Work: may require occasional light lifting.
- Nights and weekend activities will be occasionally required.
- Position is in an office setting and may involve prolonged work at a desk in one location.
- Moderate travel is required.
