The Development Coordinator – Advancement Operations maintains and manages the processing of all gifts and pledges to the School. Provides support for database entry of advancement activity for the Office of Advancement leadership team and President’s Office. Reports to the Executive Director, Strategic Information & Prospect Development, and takes direction from the Associate Director, Research & Prospect Management and the Database Manager & Business Intelligence Analyst to help the Office of Advancement team meet its goals.
Responsibilities
Minimum requirements include a college or university degree in related field.
Work Experience
Minimum requirements include knowledge and skills developed through 1-2 years of work experience in a related job discipline. Preference for one year of work experience in nonprofit management, development, alumni relations, marketing, public relations, or similar work.

The Development Coordinator – Advancement Operations maintains and manages the processing of all gifts and pledges to the School. Provides support for database entry of advancement activity for the Office of Advancement leadership team and President’s Office. Reports to the Executive Director, Strategic Information & Prospect Development, and takes direction from the Associate Director, Research & Prospect Management and the Database Manager & Business Intelligence Analyst to help the Office of Advancement team meet its goals.
Responsibilities
- Processes all gift activity for the School which includes communicating with donors and internal departments to complete pledges, cash, stock-transfer, and in-kind gift transactions; submitting all gift processing forms to Development Records; submitting credit card gifts through Cybersource and MobileCause; and reviewing all gift batches after Development Records enters them into Raiser’s Edge
- Serve as liaison between the museum gift processing team and the School’s finance and account team to prepare gifts for final processing and create new funds in RE.
- Check Office of Advancement mail for incoming gifts as well as letters for other OA staff.
- Track and produce receipts for donors
- Work with the annual giving team to create, maintain, and communicate appeal codes
- In collaboration with the Prospect Management team, shares relevant reports to assist gift officers and leadership in active prospect management
- Updates RE records, by confirming prospect actions and maintaining solicitation data, strategy, and next steps for the Advancement leadership team and President’s Office. Assists with other database entry and list pulls, as needed
- Coordinates and monitors open pledge reminders on a monthly basis
- Assists with filing of donor records/documents in main OA filing system. Establishes and maintains donor records and accounts. Assures appropriate information is captured in all applicable donor files and in Raiser’s Edge
- Manages professional subscriptions, memberships for the Office of Advancement team
- Serves as the main contact for routing and responding to givetosaic.edu inquiries as well as phone inqueries
- Monitor and maintain the Office of Advancement budget
- Has a solid understanding of fundraising operations for the School and Office of Advancement team
- Performs other related work as needed
