Job Description: We are seeking a meticulous and organized Operations Coordinator to join our dynamic team. In this role, you will assist the Operations Manager in coordinating and managing meal bookings for our educational tours. You will play a critical role in ensuring smooth and efficient travel arrangements for our clients.
Key Responsibilities:
- Meal Coordination: Assist in the booking of meals for educational tours, ensuring that all dietary requirements and preferences are accommodated by the vendor.
- Vendor Management: Communicate with vendors, partners, and internal staff to confirm bookings, negotiate terms, and address any issues that may arise.
- Customer Service: Provide excellent service to clients, handling inquiries and resolving any issues related to meal bookings and travel arrangements.
- Documentation and Reporting: Maintain accurate records of bookings, payments, and other relevant documentation. Prepare reports on operations and assist in evaluating program effectiveness.
- Problem-Solving: Address any logistical issues or changes in plans promptly and effectively to ensure minimal disruption to travel schedules.
- Collaboration: Work closely with the Operations Manager and other team members to ensure all aspects of the tours are well-organized and executed efficiently.
Required Qualifications:
- In the office, Monday through Friday
- Proficiency in Microsoft Teams, Word, Outlook, Excel, and Adobe Acrobat.
- Strong organizational skills and attention to detail.
- Excellent communication and people skills.
- Ability to work independently and as part of a team.
- Strong problem-solving abilities and time management.
- Ability to manage multiple tasks and prioritize effectively.
- A high school diploma or equivalent is required.
Preferred Qualifications:
- Experience in coordinating group travel or educational tours.
- Previous experience working with meal planning.
- At least 1-2 years of experience in operations coordination or a similar role, preferably within the travel or hospitality industry.
- Additional education in Business Administration, Hospitality Management, Travel Management, or a related field is a plus but not required.
