The Church Office Administrator oversees the administrative and financial operations of the church, ensuring both the day-to-day running of the office and the financial health of the organization. This role provides essential support to church leadership, staff, and congregation members by managing office functions, maintaining financial records/reporting, and ensuring compliance with church policies and procedures, and relevant legal requirements.
The ideal candidate will have strong organizational skills, experience in both office and financial administration, and a commitment to serving in a faith-based environment.
KEY RESPONSIBILITIES
Office Management:
- Daily Operations: Oversee the church office’s daily operations, ensuring an organized, welcoming environment for visitors, volunteers, and staff.
- Records Management: Maintain and update church records and files including but not limited to; membership databases, donations, and mailing lists, ensuring confidentiality and accuracy.
- Administrative Support: Provide office support for Elders, Minister, and Finance Strategist including preparing presentations, handling travel arrangements, and other duties which may arise.
- Social media & Website Updates: Manage the church’s online presence by updating the website and social media with current information and events.
Financial Administration:
- Accounts Payable/Receivable: Process invoices, payments, reimbursements, and donations, ensuring timely collection and payment of outstanding accounts.
- Payroll Support: Payroll processing, including timesheet verification, benefit deductions, and reporting.
- Budgeting and Reporting: Prepare, monitor, and update budgets; provide monthly financial reports to church leadership.
- Financial Record-Keeping: Maintain accurate and up-to-date financial records in line with church policies and procedures.
- Bank Reconciliation: Perform monthly bank reconciliations to ensure the accuracy of accounts.
- Audit Support: Prepare financial records and documentation as needed for internal and external audits.
- Compliance: Ensure adherence to financial and confidentiality policies, maintaining records in compliance with relevant regulations.
Qualifications:
- High school diploma or equivalent required; additional education in business administration, finance, or office management preferred.
- 3 years of experience in office administration and financial management, ideally within a church or nonprofit setting.
- Proficiency in Microsoft Office Suite and financial software (e.g., QuickBooks, or specific church management software).
- Strong organizational, time-management, and multi-tasking skills.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information with integrity.
- Strong interpersonal skills and a welcoming attitude towards church members and visitors.
- Ability to work independently and with a team
Preferred Qualifications:
- Experience with payroll or bookkeeping.
- Knowledge of church management software (e.g., Servant Keeper, Realm, etc.).
Physical Demands: Must be able to lift and move items (i.e., office supplies) up to 20 lbs. as required for role.
Hours: Full time, Monday – Friday (limited weekend or evening)
