Job Duties And Responsibilities

  • Manage, process, and handle group rooming lists, standard reservations, emails, VIP reservations, site visit reservations, group billing setup, by inputting data into HMS, Synxis, and Delphi. The position requires frequent interaction with the group contact and/or housing companies on a daily basis and making sure the perimeters of each group contract are met. When required, meet with the client in person to discuss their group and billing and will be present at any precons that are scheduled.
  • Create and distribute the weekly 14-day ops forecast.
  • Manage commission verification/payout in coordination with accounting.
  • Lead weekly group cut off and pick up meeting.
  • Proactively scrub arrivals over forecasted sell out dates to help reduce no shows and revenue loss.
  • Become the reservation point of contact for select transient BT and Diplomatic accounts, working closely with transient sales manager.
  • Collaborate with the front office and commercial division to resolve all guest reservation issues and ensure all reservation requirements are met.
  • Oversee reservation administration, inputting/downloading of rooming lists, inputting all group routing and group notes, assigning suites, monitoring housing bureaus, assigning comp units, contract concessions, approving or denying cutoff date extension requests for group blocks.
  • Support commercial leaders with various weekly and ad hoc reports. i.e., report packet for the weekly commercial strategy meeting.
  • Help manage and maintain group and transient inventory including but not limited to room accommodation and rate inventory controls. 
  • Consistently offer professional, friendly and engaging service equivalent to AAA-4 diamond standards. 
  • Perform various other duties as assigned to meet business objectives 

Education And Experience

  • Hotel Management, Business and/or related degree preferred  
  • A minimum of two (2) years front desk/reservations management experience with multiple systems is required.  
  • Preferred system experience includes HMS, Synxis, Delphi FDC, and Ideas/Duetto

Knowledge, Skills And Abilities

  • Exceptional service and customer relations skills with ability to foster effective relationships with staff, management and clientele.  
  • Excellent verbal and written communication skills and ability to communicate ideas and concepts.  
  • Highly proficient in computers including, but not limited to Internet, Microsoft Office programs and hotel sales related programs.  
  • Strong attention to detail. 
  • Ability to make quick and efficient decisions to benefit the team and guest. 
  • Ability to use a moderately complex computer system and troubleshoot software problems.
