Job Summary: The Accounts Receivable & Office Coordinator plays a dual role in ensuring the financial and operational efficiency of the organization. In the Accounts Receivable function, this position is responsible for managing invoicing, payment tracking, collections, and reconciliation, while maintaining accurate customer account information. The Office Coordinator aspect involves overseeing the day-to-day operations of the office, supporting payroll and benefits administration, coordinating employee performance reviews, and ensuring a positive workplace environment. This role requires strong organizational skills, attention to detail, and the ability to balance multiple responsibilities in both financial and administrative capacities.
Responsibilities:
Accounts Receivable Responsibilities:
- Invoice Generation: Prepare and send invoices to clients/customers.
- Payment Tracking: Monitor incoming payments, ensuring accounts receivable balances past due are not over 20% of total sales at any given time.
- Customer Account Management: Maintain accurate customer account information.
- Payment Reconciliation: Reconcile received payments with invoices and accounts.
- Collections: Contact clients/customers regarding overdue accounts, negotiate payment plans if necessary.
- Reporting: Generate regular reports on receivables status, aging, and cash flow forecasts.
- Record Keeping: Maintain accurate records of transactions, receipts, and invoices.
- Credit Management: Assess and manage credit limits for customers.
Office Coordinator Responsibilities:
- Office Operations: Oversee daily office operations to ensure efficiency and productivity.
- Collect Reports: Ensure that department heads are filing weekly/monthly reports. Confer with President when needed.
- Weekly Safety Quiz: Create and send weekly safety quiz to all employees
- Event Planning: Plan in person safety meetings and team building events.
- Payroll Assistance: Collaborate with payroll to ensure accurate and timely payment to employees.
- Performance Management: Assist in organizing performance reviews and tracking employee performance metrics.
- Benefits Administration: Assist employees with benefits enrollment and address any related inquiries.
- Compliance: Assist in ensuring company policies comply with labor laws and regulations.
- Employee Relations: In conjunction with supervisors/President, address employee concerns, mediate disputes, and ensure a positive workplace environment.
Backup Duties:
- Accounts Payable and Admin Assistant Backup: Provide backup support for urgent Accounts Payable and Admin Assistant tasks during PTO.
