Position Description:
The Accounts Receivable Clerk (Parts and Wholesale) is responsible for providing accounting and administrative support for the dealership’s parts and wholesale department. This includes handling invoicing, inventory management, accounts receivables, customer service, data entry, and record keeping.
ESSENTIAL JOB RESPONSIBILITIES
- Process wholesale and retail parts invoices accurately and timely
- Monitor and manage the inventory of parts and supplies
- Receive and record payments for parts sales and follow-up on overdue accounts
- Enter data into accounting software and produce reports
- Collaborate with other departments in the dealership to ensure smooth operations
- Deposits wholesale parts checks; match cash and checks
- Balance out the Parts Dept. invoices from credit card transactions, and cash and check deposits
- Scan checks to Bank for processing
- Manage resale tax certificates
- Post all AR payments for Parts Dept. to include ACH, CC, and Checks
- Run AR statements for all locations the 1st of each month
- Handle credit bumps via CDK for those customers exceeding credit limit
- Collect information to create a line of credit for customers
- AR setup for all approved customers; create account to enable online payments
- Run payments for customers when requested (via pure processing portal for Parts Dept. payments); once payment made post payments; run AR service payments and parts payments on portal
- Manage Project Accounts by adding PO’s and notes for Avis, U-Haul, and Enterprise
- Run AR Schedule; aging report for parts
- Make collection calls; send certified letters, include notes for AR for past due accounts
- Other duties as assigned by management
WHO ARE WE LOOKING FOR?
- Automotive Experience (Highly Preferred)
- CDK (Highly Preferred)
- Attention to detail
- Highly organized
- Excellent communication skills both written and verbal
- Proficiency in using accounting and inventory management software
- Knowledge of accounting principles and practices
- Strong work ethic
A valid driver's license. All applicants must pass pre-employment testing to qualify for employment. Pre-Employment testing includes a successful background check and drug testing.

Education/Requirements:
- High School Diploma or equivalent required
- 1-2 Years experience in an accounting or administrative roles
